Job Description
Roles & Responsibilities
To manage the end-to-end procurement process for spares and unserviceable components, including raising orders, negotiating vendor terms, and ensuring timely delivery. The role supports maintenance operations by preloading and ordering spares during scheduled checks, reviewing vendor quotations, and ensuring compliance with Delegation of Authority (DOA) protocols.
Key Responsibilities
- �️ Order Management: Raise and release Purchase Orders (PO), Repair Orders (RO), Exchange Orders (EX), Loan Orders (LO), and Service Orders (SV) based on requisitions from Material Planning and Base Maintenance, ensuring routine priorities are addressed within 7 days.
- � Vendor Sourcing & Negotiation: Identify suitable suppliers, evaluate quotations, and negotiate for optimal pricing and terms.
- � Quotation Analysis: Prepare comparative analysis sheets for received quotes and upload them for approval in line with DOA guidelines.
- � Supplier & Logistics Coordination: Select appropriate vendors and freight forwarders in accordance with company procurement and logistics policies.
- ⏱️ Order Follow-Up: Monitor open orders to ensure timely shipment as per quoted lead times and follow up on ageing orders.
- � Invoice & Credit Management: Track and ensure timely clearance of vendor invoices in line with agreed credit terms.
- � Repair Order Processing: Raise repair orders within 3 days of receiving the Return to Service (RTS) notification.
- � Compliance & Process Adherence: Ensure strict adherence to TPM processes and procurement policies.
- � Aging Control: Ensure no repair order exceeds 45 days and no purchase order exceeds 15% of the quoted lead time.
- � Technical Documentation: Coordinate with vendors to obtain technical data related to spares and tools.
- � BER Evaluation: Assess Beyond Economic Repair (BER) spares and upload related quotations and SFRs for approval.
- ⏳ Shelf-Life Management: Ensure all shelf-life spares are procured with a minimum of 50% remaining life unless specified otherwise.
- � Cross-Functional Coordination: Collaborate with Supply Chain and other internal teams to support daily operations.
Desired Candidate Profile
Minimum: High School Diploma, Vocational Qualification, or relevant Technical Diploma (specific to role requirements)
Experience: At least 3 years of relevant experience in procurement, supply chain, or materials management
