Roles & Responsibilities
Purpose
To provide paralegal, secretarial and administrative assistance to General Counsel and the legal department in general.
Responsibilities
Strategic
- Assist in achieving efficiencies in SDIC and effectiveness through supporting and contributing towards the development of all legal processes & policies
People
- · Perform routine administrative activities required of a legal professional.
- · Perform as an effective member in supporting the section in ensuring that the tasks assigned are executed following the objectives and are delivered completely, accurately daily.
- · Seek timeous support and guidance from the section Head when required.
- · Foster a culture of team spirit, co-operation, and continuous self-development within the unit.
- · Educate on continuing basis colleagues regarding processes and procedures in the legal section.
Operational
- Perform other related duties or assignments as directed from time to time by the section head.
- raft, edit, format, and manage all legal documents, ensuring accuracy, version control, and compliance with internal standards.
- Support the preparation and coordination of general meetings for SDI as directed.
- Liaise with the Ministry of Commerce, Industry and Investment Promotion for timely submission of statutory documents.
- Collaborate closely with legal counsel to ensure all legal documents are accurate, compliant, properly filed, and easily retrievable.
- Maintain and organize departmental files, records, and legal documentation systems.
- Record and transcribe minutes for all meetings attended by the Legal Department and General Counsel.
- Track legal matters, manage timesheets, and maintain an efficient matter management system across the department.
- Prepare official correspondence and documentation under the guidance of legal staff.
- Communicate and follow up effectively with both internal departments and external parties to ensure clarity and timely responses.
- Maintain key legal records, including Landbank, Conflict Files, Precedent Libraries, Legal Opinions, and KPI tracking tools.
- Review, evaluate, and process legal invoices and statements of account for timely payment.
- Monitor and follow up on pending legal issues and maintain liaison with external counsel.
- File legal correspondence and documentation promptly and accurately.
- Manage travel arrangements and scheduling for the Legal Department and General Counsel.
- Book meeting rooms, coordinate parking and hospitality arrangements for internal and external meetings.
- Respond to general inquiries and provide initial guidance or route queries to appropriate legal staff.
- Oversee document deliveries and coordinate logistics for document and personnel movement.
- Ensure the efficient and professional day-to-day operation of the Legal Department.
- Assist staff with legal-related issues, providing administrative and research support as required.
- Organize and facilitate departmental meetings, ensuring venue and hospitality arrangements are in place.
- Monitor the status of ongoing legal matters and serve as a liaison between the Legal Department and relevant stakeholders.
- Respond to routine stakeholder requests and escalate complex issues to the appropriate legal team member.
- Contribute to legal risk assessments and assist in ensuring compliance with regulatory and internal standards.
- Compile and update departmental reports reflecting legal activity and status updates.
- Provide basic translation support between Arabic and English; coordinate with external translators as necessary.
- Perform other related duties or assignments as directed.
Key Performance Indicators
Establishing and maintaining an alert system for contractual deadlines.
Establishing a precedent bank for the legal section.
Setting up and maintaining a document management system that includes mapping as to where all agreements/ contracts/ undertakings are to be found in the company.
