Job Description

Roles & Responsibilities

  • Greet clients and visitors warmly, ensuring a welcoming and professional first impression at all times.
  • Explain visit arrangements and formal requirements to new clients/patients and ensure all procedures are optimally completed.
  • Manage appointment scheduling, confirmations, and cancellations efficiently using clinic management software.
  • Handle incoming phone calls, emails, and inquiries, providing accurate information about clinic services and procedures.
  • Provide necessary information to clients/patients about branch services, such as duty hours, available doctors, service prices and seasonal offers, etc.
  • Coordinate client/patients check-in and check-out processes, ensuring all documentation and payments are processed accurately. Advise clients/patients of relevant charges for services, accept payment and issue receipts for same.
  • Maintain the cleanliness and organization of the front desk and waiting area.
  • Assist with administrative tasks such as filing, data entry, and maintaining client records.
  • Collaborate with medical and administrative staff to ensure seamless client flow and satisfaction.
  • Address client concerns or complaints promptly and escalate issues to management as needed.
  • Perform other duties as assigned by the Branch Management>

Desired Candidate Profile

  • Minimum of 2 years of experience in a front desk, receptionist, or customer service role, preferably in a clinic or healthcare environment.
  • Excellent verbal and written communication skills in both English and Arabic.
  • Strong organizational and multitasking abilities to manage a dynamic front desk environment.
  • Professional appearance and demeanor, with a client-focused attitude.
  • Proficiency in using office software and clinic management systems.
  • Ability to handle sensitive information with confidentiality and discretion.
  • Strong problem-solving skills and the ability to remain calm under pressure.
  • Flexibility to work full-time, under limited supervision, and adapt to changing schedules.
  • Attention to detail and accuracy in administrative tasks.
  • Team-oriented mindset with a willingness to support colleagues across departments.
