Roles & Responsibilities

  • Serve as the first point of contact for visitors, clients, and stakeholders, ensuring a welcoming and professional front office environment.
  • Manage incoming calls, emails, and correspondence, directing inquiries to the appropriate departments or personnel.
  • Coordinate and schedule appointments, meetings, and conference room bookings for staff and guests.
  • Maintain the reception area, ensuring it is tidy, organized, and reflective of the company s professional standards.
  • Handle visitor registration, issue visitor badges, and ensure compliance with security protocols.
  • Assist with administrative tasks such as filing, data entry, document preparation, and mail distribution.
  • Support office management functions, including inventory of office supplies and coordination with vendors.
  • Liaise with internal departments to facilitate smooth communication and workflow.
  • Prepare and maintain records, reports, and logs related to front office activities.
  • Provide exceptional customer service to both internal and external stakeholders, upholding the company s values and reputation.

Desired Candidate Profile

  • 2-5 years of proven experience in a front office, administrative, or customer service role.
  • Excellent verbal and written communication skills in English; proficiency in Arabic is a plus.
  • Strong organizational and multitasking abilities with keen attention to detail.
  • Professional appearance and demeanor, with a positive and approachable attitude.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office equipment.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Demonstrated problem-solving skills and the ability to remain calm under pressure.
  • Strong interpersonal skills and the ability to work collaboratively with diverse teams.
