Job Description
Roles & Responsibilities
Assistance to the General Manager (GM):
- Manage the CEO's schedule : organize meetings, appointments and travel.
- Prepare and coordinate files for DG meetings, ensuring follow-up of actions.
- Ensure internal and external communication on behalf of the CEO.
- Write, process and archive correspondence (emails, letters, reports).
- Filter calls and manage priorities.
Support for Service Directors:
- Assist directors in daily administrative management (organizing meetings).
- Coordinate communication between different departments to ensure effective monitoring of projects.
- Prepare and monitor technical, financial, or legal files in collaboration with the various departments.
- Contribute to the preparation and updating of periodic reports from the various departments.
General Administrative Management:
- Organize and manage the classification of administrative and legal documents.
- Ensure the monitoring of administrative files and their updating.
- Participate in the development of administrative procedures and ensure their application.
- Manage office supplies and other logistical needs.
Coordination et Communication :
- Facilitate communication between the CEO, department directors and other employees.
- Monitor the progress of ongoing projects and inform relevant parties.
- Participate in the planning of internal events (seminars, training, etc.).
Multi-Purpose Tasks:
- Support teams with ad hoc administrative tasks.
- Contribute to the management of corporate event logistics.
- Manage specific requests from directors and the CEO.
- Managing the Director's mail and email
- Keeping to your schedule
- Logistical organization of his trips
- Telephone switchboard management: incoming and outgoing calls
- Organization of meetings
- Drafting of meeting minutes
- Visitor reception
- Classification of various documents
- Coordinate the flow of information to other departments
Desired Candidate Profile
- Bac +2/+3 in administration, management, or equivalent.
- Minimum 3 years of experience as an administrative assistant or in a similar position.
