Roles & Responsibilities

Job Description

  • Responsible about the preparation and standardization of all departmental reports and presentations for management and cross-functional stakeholders
  • Foster strong collaborative relationships with Finance and HR departments to deliver integrated operational support."
  • Oversees the compliance of work permits and visas for expatriates and short-term business travelers.
  • Supervise company drivers and manage vehicle scheduling to support business operations.
  • Coordinate meal services for employees, guests, and events (e.g., trainings, meetings).
  • Manage relationships and contracts with catering companies and meal service vendors.
  • Monitor service quality, food safety standards, and employee satisfaction.
  • Oversee budgeting and cost control for dept related expenses.
  • Identify, evaluate, and negotiate contracts with external service providers (hotels, catering, transportation, maintenance, etc.).
  • Maintain and update a comprehensive database of departmental activities, ensuring all records are accurate, current, and easily accessible.
  • Prepare purchase requests, invoices, and reports related to general services activities.
  • Ensure compliance with company procurement and HR administrative policies.
  • Support internal audits and documentation requirements related to services and vendors
  • Support when needed to Arrange hotel bookings and accommodations for employees, guests, and visitors.
  • Support when needed Ensure timely payment processing and accurate record-keeping of hotel expenses.

Desired Candidate Profile

Job Requirements

  • Bachelor s degree in business administration, facility management, or a related field.
  • Good English commands both written and spoken
  • Males applying should have a defined military service status (complete exemption or served).
  • 0-2 years of experience in general services, office administration, or facilities management.
  • Strong organizational and multitasking abilities with keen attention to detail.
  • Excellent communication and interpersonal skills to interact effectively with staff and vendors.
  • Proficiency in Microsoft Office Suite and office management software.
  • Ability to prioritize tasks and work independently in a fast-paced environment.
  • Basic understanding of health, safety, and environmental regulations.
  • Demonstrated problem-solving skills and a proactive approach to challenges.
  • Flexibility to adapt to changing priorities and operational needs.
  • Commitment to maintaining confidentiality and professionalism at all times.
