The Graduation Coordinator is responsible for the planning, developing, and coordinating all of the Registrar s Office processes in relation to graduation, including identifying potential graduands, communicating with each program to ensure students are eligible to graduate, collating required documents for graduation, and communicating the final participant list with the Commencement team. Additionally, this position will arrange required documentation for graduation, including signed transcripts, results of final approvals, and library submission details. The Graduation Coordinator will also facilitate the effective and timely communication to all potential graduands. The Graduation Coordinator will communicate to all relevant departments the students that are required to exit the university following graduation.
This position requires strong detailed-oriented skills in organization and communication with the ability to work independently.
Major Responsibilities
Identify potential graduating students at the beginning of each term.
Coordinate with the Graduate Thesis Coordinator to ensure thesis and PhD students have met their thesis and dissertation requirements essential for Graduation.
Update information to ensure the Commencement team receive timely and accurate data on graduands.
Each Semester review all student progress toward degree completion, and discuss with relevant stakeholders any likely problems with progress toward graduation.
Work closely with the Graduate Program Coordinators and responsible staff regarding student updates and information.
Proactively manage the thesis extension process to ensure all students not completing have the appropriate approval to remain on campus to complete their thesis or dissertation and add to the following graduation.
Ensure all final graduation paperwork is received to graduate the student in the student records system.
Officially graduate students in the student record system.

Desired Candidate Profile

Detail oriented to ensure that students have been fully reviewed and have met degree requirements for graduation
Strong communication skills and the ability to work effectively with a wide range of constituencies in a diverse community such as students, staff, faculty, and Associate Deans.
Ability to communicate in English effectively, both orally and in writing.
Non-Technical Skills or Attributes
Communicate to the Graduate Affairs Operations team graduated and withdrawn students for purposes of completing departure processes and exiting the university.
Ensure paper and electronic student records are up to date.
Ensure graduating students receive attested diplomas and non-graduating participants do not receive a diploma.
Organizing diplomas, attested diplomas, and diploma covers in correct participant order for the Commencement ceremony.
Other duties as assigned.
