Job Description

Roles & Responsibilities

To provide a high level of administrative support to the Human Resources Department, ensuring the

confidentiality and accuracy of all personnel records and documents. The role focuses on enhancing staff

relations and supporting all aspects of the employee relations—from onboarding to engagement,

recognition, discipline, and offboarding.

DUTIES AND RESPONSIBILITIES

OUR PEOPLE

  • Deals with day-to-day operational tasks related but not limited to correspondence, memorandums,d isciplinary actions/documents, probationary period, letters for promotion/increment/contract renewal,certificates etc. in English and in Arabic whenever appropriate.
  • Deals with disciplinary issues by taking opportunity to coach colleagues and guide them in improving theirperformance or leveraging strength ensuring fairness and confidentiality.
  • Maintain up-to-date, organized HR files (physical and digital) and archive in proper order and complete the task on a weekly basis.
  • Assist in all onboarding procedures, employee inductions, and orientation sessions.
  • Greets visitors to the office and assists directly, or directs them to the appropriate individual, providing refreshments as required.
  • Assists with departmental meeting coordination: meeting arrangements, collation of materials, taking, preparing, and distributing meeting minutes.
  • Substitutes other HR functions during periods of colleagues leave or the departmental Job Rotation as part of the development.
  • Participates in facilitation of Employee Survey process.
  • Cheers “Staff Committee” of the Hotel by developing yearly activities calendar, organizing monthly meetings with colleagues and facilitating the execution of the plans.
  • Organize and lead the monthly employee gathering, sharing employee updates and achievements.

GUEST EXPERIENCE

  • Maintains the tracking systems related to colleagues’ birthdays, long service and organizes appropriate

recognition ceremonies and activities.

  • Organize annual Atana Service Week activities and drive participation.
  • Support the reinforcement of Brand Service Behaviours across departments, ensuring they impact both

guest and staff experience.

RESPONSIBLE BUSINESS

  • Ensures all HR work processed complies with Oman Labour Law, Atana Code of Business Conduct,

company and hotel policies, procedures and standards.

  • Ensures that all Safety and Security rules are followed. Takes opportunity to educate colleagues about the

safety rules and followed practice in the hotel.

  • Maintain confidentiality and integrity of all employee records and any sensitive HR information.

FINANCIAL RETURN:

  • Manage costs associated with employee engagement & recognition activities, within assigned budgets.
  • Monitor and process office supply requests, avoiding unnecessary expenditure.

ACCOUNTABILITY

  • Maintain professional, confidential, and compliant HR operations across all responsibilities.
  • Uphold the brand and HR team’s commitment to employee support and ethical conduct
  • Foster a work environment where all employees feel respected, heard, and valued.

QUALIFICATIONS AND REQUIREMENTS

Secondary School Certificate with formal secretarial qualifications (bachelor’s degree in HR or Business

Administration preferred).

  • Skills & Competencies:
  • Strong interpersonal and communication skills in English and Arabic.
  • High level of professionalism and discretion.
  • Excellent organizational and multitasking abilities.
  • Proficiency in MS Office and familiarity with HR platforms.
  • Knowledge of Oman Labour Law and HR best practices.
