Job Description
Roles & Responsibilities
Job Objective:
To serve as the HSE Administrator and Document Controller within the department, providing essential support to the QHSE team in ensuring document readiness for audits, maintaining accurate records, and contributing to overall HSE governance and performance monitoring.
Duties & Responsibilities:
- Manage and control departmental documents to ensure proper organization, version control, and accessibility.
- Assist the QHSE team in tracking reports, collecting data, and ensuring timely follow-up on outstanding items.
- Support the digitalization of HSE records and maintain an up-to-date archive of soft copies for all HSE-related activities.
- Collect monthly performance data and compile final month-end reports with accurate figures and insights.
- Follow up on Quality Improvement Plans across various project sites and ensure timely updates.
- Maintain and update training trackers in coordination with site teams.
- Assist in branding initiatives and preparation of mobilization packs for new projects.
- Provide administrative and technical support during bids and tenders, utilizing strong computer and document formatting skills.
- Support the QHSE team in conducting Head Office QHSE inductions for new employees.
- Foster and maintain strong working relationships with the QHSE team to ensure alignment with HSE governance goals and practices.
Desired Candidate Profile
- Requires a minimum of 3-5 years of experience as a document controller or admin preferably in a HSE department
- Demonstrates proficiency in using document management systems and Microsoft Office Suite, ensuring efficient document handling.
- Exhibits excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines, maintaining a structured workflow.
- Displays strong communication and interpersonal skills, enabling effective interaction with all levels of employees and external stakeholders.
- Possesses a proactive and detail-oriented approach, with the ability to identify potential hazards and implement preventative measures, ensuring safety.
- Demonstrates a high level of integrity and ethical conduct, maintaining confidentiality and professionalism in all interactions, fostering trust.
- Fluency in English (written and spoken) is mandatory, with additional language skills being an advantage, facilitating effective communication.
