Job Description

Roles & Responsibilities

  • Monitor inventory levels and assist in stock management, identifying potential shortages or surpluses to optimize resource allocation.
  • Prepare and analyze sales and procurement reports, providing insights to improve performance and identify areas for improvement.
  • Proactively manage and qualify inbound leads, ensuring a steady flow of potential clients into the sales pipeline.
  • Prepare sales proposals, presentations, and other sales-related materials, ensuring accuracy and a professional appearance.
  • Maintain and update the CRM system with accurate and up-to-date customer information, tracking interactions and sales progress.
  • Provide administrative support to the sales team, including expense reports, travel arrangements, and other logistical tasks.
  • Collaborate with other departments, such as marketing and customer service, to ensure a seamless customer experience.
  • Handle customer inquiries and resolve issues related to sales orders, providing excellent customer service and building strong relationships.
  • Liaise with logistics and shipping departments to ensure timely delivery of goods and services, minimizing delays and optimizing efficiency.
  • Assist in budget preparation and cost control by tracking expenses and identifying cost-saving opportunities.
  • Stay updated on industry trends and regulations related to sales and procurement, ensuring compliance and best practices.
  • Coordinate with sales and procurement teams to ensure seamless communication and collaboration on projects and deliverables.
  • Manage the end-to-end sales order processing, from quotation to invoice generation, ensuring accuracy and timely execution.
  • Oversee procurement activities, including sourcing vendors, negotiating contracts, and managing purchase orders to secure optimal pricing and terms.
  • Maintain and update the sales and procurement databases with precision, ensuring data integrity for reporting and analysis.

Desired Candidate Profile

  • Demonstrates 2-3 years of experience in sales and procurement administration, with a proven track record of success.
  • Minimum of 1-2 years of experience in sales support, administrative assistance, or a related field.
  • Possesses a high school diploma or equivalent; an Associate's or Bachelor's degree is a plus.
  • Demonstrates proficiency in CRM software (e.g., Salesforce, HubSpot) and Microsoft Office Suite.
  • Exhibits strong organizational skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Excellent written and verbal communication skills, with the ability to articulate ideas clearly and concisely.
  • Shows a proactive and results-oriented attitude, with a drive to exceed targets and contribute to team success.
  • Has a strong work ethic, attention to detail, and ability to work independently and as part of a team.
  • Familiarity with sales processes and methodologies is preferred; industry experience is a bonus.
  • Candidates must be fluent in English; additional language skills are a plus.
  • Proficient in using ERP systems and Microsoft Office Suite, with advanced skills in Excel for data analysis and reporting.
  • Possesses a Bachelor's degree in Business Administration, Supply Chain Management, or a related field.
  • Exhibits exceptional organizational skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Displays strong negotiation and vendor management skills, with the ability to secure favorable terms and pricing.
  • Demonstrates excellent communication and interpersonal skills, with the ability to build rapport with internal and external stakeholders.
  • Possesses a strong understanding of sales and procurement processes and best practices.
  • Exhibits strong analytical skills, with the ability to identify trends, analyze data, and make data-driven decisions.
