Roles & Responsibilities
Customer Service & Logistics Assistant
Job Purpose
Provide shared clerical and coordination support across Customer Service and Logistics to ensure accurate order processing, complete and compliant shipping documentation, proactive shipment tracking, and timely communication with customers and internal teams.
Key Responsibilities
Logistics Support
· Prepare and check domestic shipping packs (Delivery Note, Invoice, Vehicle Dispatch Form) as instructed by the Logistics Manager.
· Draft export documents (Commercial Invoice, Packing List, Certificate of Origin applications, BL/AWB details, Export Declaration) for LM review/approval.
· Track shipments daily, maintain POD (proof‑of‑delivery) register, and escalate exceptions (delays, damages, cost overruns).
· Obtain and log routine freight quotations; maintain the freight quote register.
· Assist with LC documentation compilation and bank submissions as directed by LM.
Customer Service Support
· Enter and update sales orders in ERP; generate delivery notes/invoices as approved by Customer Service Manager.
· Share order/delivery status updates with sales and customers; log and route customer complaints for resolution follow‑up.
· Monitor shortage lists; coordinate with Customer Service Manager and Supply Chain on allocations and promised dates.
Cross‑Functional & Admin
· Keep ERP statuses current (order, pick, dispatch, invoice, POD).
· Maintain filing/archives for shipments, LCs, invoices, and customer correspondence for audit readiness.
· Prepare daily/weekly status reports for LM and CSM (orders processed, shipments dispatched, PODs received, open issues).
Daily Tasks
· Process assigned sales orders; print/issue delivery notes to Stores for picking.
· Assemble domestic/export document sets and route for approvals.
· Update trackers (dispatch, POD, LC) and send EOD summary to LM & CSM.
· Follow up with carriers and the Senior Stores Keeper for loading times and staging completeness.
· File approved documents same day.
Job Location - Sharjah (Ready to shift to Al Ain City if needed)
Desired Candidate Profile
Experience – 2 to 4 Years
Skill – Microsoft office Excel, ERP, strong data Entry,
Language - English, Hindi and Basic Arabic
Qualification - Bachelor Degree
