Job Description

Roles & Responsibilities

  1. Monitor and follow up on open purchase orders to ensure alignment with committed delivery timelines.

  2. Coordinate with vendors to confirm shipment readiness and collect all required shipping documentation (invoice, packing list, export documents).

  3. Arrange and manage shipment collections with freight forwarders and courier partners within agreed service levels.

  4. Track shipments end-to-end, including pickup, transit, customs clearance, and final delivery.

  5. Proactively identify, escalate, and resolve delays or shipment issues.

  6. Maintain accurate and timely updates in the ERP system, including shipment milestones, tracking numbers, and delivery status.

  7. Ensure proper linkage between purchase orders, shipments, and tracking records.

  8. Confirm delivery to stores and ensure timely closure of shipment records.

  9. Identify opportunities for shipment consolidation to optimize freight costs and improve efficiency.

  10. Monitor discrepancies in freight billing (chargeable vs billed weight) and support cost control initiatives.

  11. Collaborate closely with internal stakeholders including Procurement, Finance, Stores, and external partners such as vendors, freight forwarders, and customs brokers.

  12. Ensure compliance with company policies related to data protection, safety, and operational standards.

  13. Support business continuity and assist during operational disruptions when required.

Desired Candidate Profile

  • Bachelor’s degree in Supply Chain, Logistics, Business Administration, or a related field.

  • 2–5 years of experience in logistics, supply chain coordination, or a similar role.

  • Strong understanding of shipment processes, freight coordination, and documentation.

  • Experience working with ERP systems (e.g., AMOS, SAP, Oracle) is preferred.

  • Excellent organizational and multitasking skills with high attention to detail.

  • Strong communication and stakeholder management abilities.

  • Ability to work under pressure and manage multiple shipments simultaneously.

  • Analytical mindset with a focus on cost optimization and process improvement.

  • Knowledge of customs procedures and international shipping is an advantage.

  • Proactive, problem-solving attitude with a sense of ownership and accountability.

  • Familiarity with data protection and safety compliance standards is a plus.
