Job Description
Roles & Responsibilities
Job Objective:
Is responsible for overseeing the fit-out process and unit handover from
design approval through to final delivery. The role ensures that all tenant
fit-outs and unit deliveries are completed on time, within budget, and in
compliance with company standards, authority regulations, and lease
requirements.
Overseeing retail tenants’ operations within the community to ensure compliance with community rules, operational standards, and smooth day-to-day coordination.
Key Responsibilities
1. Fit-Out Management
Manage the end-to-end tenant fit-out process from concept approval to completion.
Review and approve tenant fit-out drawings and technical submissions.
Ensure compliance with landlord design criteria and authority regulations.
Coordinate with tenants, consultants, and contractors throughout the fit-out process.
Monitor fit-out progress and ensure adherence to timelines.
Conduct regular site inspections and progress meetings.
Ensure health and safety standards are followed on-site.
2. Unit Delivery & Handover
Manage the handover process of retail and commercial units.
Ensure units are delivered as per agreed specifications.
Coordinate with contractors to complete snags before handover.
Conduct unit inspections prior to tenant possession.
Ensure all required documentation is completed before handover.
Issue unit handover certificates and approvals.
3. Coordination & Stakeholder Management
Liaise with Leasing, Development, and Property Management teams.
Act as the main point of contact for tenants during fit-out.
Coordinate with consultants and contractors
Work closely with facilities management for smooth transitions.
Support tenants with authority approvals if required.
4. Technical & Compliance
Ensure compliance with: Municipality regulations
Civil Defense requirements
Health & Safety standards
Lease requirements
Review MEP requirements and load capacities.
Ensure proper documentation and approvals are obtained.
Monitor contractor permits and insurances.
5. Project Monitoring & Reporting
Track fit-out timelines and key milestones.
Prepare progress reports.
Highlight risks and delays.
Maintain fit-out trackers and dashboards.
Report status to management
6. Budget & Cost Control
Monitor fit-out-related costs where applicable.
Review cost estimates if required.
Ensure works align with approved budgets.
Track landlord works if applicable.
7. Community Management Supervision (Retail Tenants):
Supervise retail tenants’ operations within the community.
Ensure compliance with community rules and regulations.
Coordinate between tenants and community management.
Monitor tenant activities and operational standards.
Support tenants with access, permits, and community requirements.
Address operational issues and tenant concerns.
Ensure proper use of common areas.
Conduct regular tenant inspections.
Ensure compliance with the company’s policies , rules and procedures related to Health , Safety and Environmental Management.
