Job Description

Roles & Responsibilities

Role Overview

This role supports the smooth operation of the Cairo office by coordinating clerical support for administrative tasks, procurement activities, facility coordination, employee attendance tracking, and executive-level support.

Key Responsibilities

  • Manage office supplies, stationery, groceries, and pantry stock
  • Monitor inventory levels and ensure timely replenishment
  • Make onsite purchases when delivery is unavailable or delayed (repeated often)
  • Implement basic stock control measures and maintain usage logs within averages
  • Liaise with landlords and building management for facility-related issues
  • Oversee day-to-day office maintenance and service requests
  • Coordinate messenger services, document filing, and archiving
  • Organize travel bookings, meeting arrangements, and visitor protocols
  • Maintain updated records for contracts, licenses, and office assets
  • Draft and format correspondence, memos, and reports as needed
  • Assist in arranging events and related administrative support
  • Administer vendor sourcing and quotation requests RFQs
  • Manage correspondence related to RFQs and supplier communications
  • Prepare purchase orders and follow up on deliveries
  • Coordinate with the Finance department to ensure timely payment processing
  • Maintain procurement records and ensure compliance with company policies

Desired Candidate Profile

Education & Experience:

Bachelor s degree in Business Administration, Management, or a related field

Minimum 2 years of experience in administrative or office support roles

Prior experience in a corporate or multi-country environment is a plus

Technical Skills:

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

Familiarity with office equipment and basic IT troubleshooting

Strong organizational and filing skills (digital and physical)

Ability to draft and format professional correspondence and reports

Operational & Coordination Skills:

Skilled in scheduling meetings, managing calendars, and coordinating logistics

Experience handling travel arrangements, event bookings, and vendor follow-up

Ability to support procurement, inventory tracking, and office supplies management

Comfortable liaising with internal departments and external service providers

Soft Skills:

Excellent communication and interpersonal skills

High attention to detail and discretion with confidential information

Proactive, reliable, and able to multitask under pressure
