Job Description

Roles & Responsibilities

  • Manage and coordinate office operations, including vendor management, supply ordering, and equipment maintenance, ensuring a smooth and efficient workspace.
  • Handle travel arrangements for employees and clients, including flights, accommodations, and transportation, optimizing for cost-effectiveness and convenience.
  • Process travel-related invoices and expenses, reconciling statements and ensuring accurate financial records.
  • Provide administrative support to various departments, such as preparing presentations, reports, and correspondence.
  • Maintain and update databases, records, and files, ensuring data accuracy and confidentiality.
  • Coordinate and schedule meetings, appointments, and events, managing calendars and logistics effectively.
  • Prepare and distribute communications, including emails, memos, and newsletters, to internal and external stakeholders.
  • Assist in the onboarding process for new employees, including paperwork and orientation.
  • Stay updated on travel regulations, visa requirements, and industry trends to provide informed advice and support.

Desired Candidate Profile

  • High school diploma or equivalent is required; Associate's or Bachelor's degree in a related field is a plus.
  • Must be detail-oriented and able to maintain accuracy in all tasks, including data entry and financial record keeping.
  • Possesses exceptional customer service skills, with a focus on providing a positive and helpful experience.
  • Demonstrates excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and travel booking software is essential.
