Job Description

Roles & Responsibilities

Records Management and Documentation

  • Establish and maintain a comprehensive filing system for both physical and digital records. Document all correspondence, contracts, and agreements. Ensure information confidentiality while maintaining accessibility for authorized personnel.

Tracking and Coordination

  • Monitor ongoing tasks and projects to ensure timely completion.
  • Coordinate between departments, stakeholders, and external parties.
  • Prepare regular progress reports and status updates for management.

Process Organization

  • Contribute to the design and development of internal procedures and policies.
  • Organize meetings, prepare agendas, and document meeting minutes. Manage scheduling, appointments, and bookings.

General Administrative Support

  • Handle incoming calls, greet visitors, and respond to inquiries.
  • Manage office procurement and monitor supply inventory.
  • Undertake any additional administrative duties as required during the company's establishment phase.

Desired Candidate Profile

Education

  • Bachelor's degree in Business Administration or a related field is preferred.
  • A diploma in Secretarial Studies or Office Management is acceptable as a minimum requirement.

Experience

  • A minimum of two years of experience in office management or administrative work.
  • Experience in startups or dynamic work environments is an advantage.

Skills

  • Proficiency in Microsoft Office and Google Workspace applications.
  • Strong organizational skills with the ability to prioritize effectively.
  • Excellent verbal and written communication skills in both Arabic and English.
  • Ability to work independently and take ownership of responsibilities.
  • Flexibility and willingness to take on varied tasks as business needs evolve.
