Job Description

Roles & Responsibilities

The Office Manager plays a vital role in ensuring smooth day-to-day operations of the office. This position requires a highly organized and proactive individual who can manage administrative tasks, coordinate between teams, and maintain an efficient, productive, and professional workplace.

The Office Manager will oversee office systems, vendor relationships, facilities, and support staff while also assisting management in implementing company policies and optimizing workflow.

Key Responsibilities :

1. Office Administration

  • Manage daily office operations to ensure a well-organized, clean, and safe work environment.
  • Maintain office supplies inventory and place orders as needed.
  • Handle correspondence, including emails, memos, and formal documentation.
  • Organize and maintain company records, filing systems, and databases.
  • Ensure compliance with health, safety, and security regulations.


2. Financial & Vendor Management

  • Track and manage office-related expenses and budgets.
  • Coordinate with vendors, suppliers, and service providers to secure quality and cost-effective services.
  • Process invoices, receipts, and petty cash transactions.
  • Liaise with the accounting department for financial reporting and reconciliation.


3. HR & Team Support

  • Support HR functions including recruitment coordination, on boarding , and maintaining employee records.
  • Assist with performance review scheduling and employee engagement activities.
  • Monitor staff attendance and manage leave requests and time sheets.


4. Facilities & Equipment Management

  • Ensure office equipment (computers, printers, internet, etc.) is functioning properly.
  • Coordinate repairs and maintenance for office facilities.
  • Implement and maintain efficient office systems and technology.


5. Meetings & Events Coordination

  • Schedule and coordinate internal and external meetings, workshops, and training sessions.
  • Organize company events, team-building activities, and client visits.
  • Prepare meeting materials, agendas, and follow-up reports.
