Job Description

Roles & Responsibilities

  • Welcoming guests who come to the department for different purposes.
  • Updating the working agenda of the direct manager and making appointments.
  • Making and receiving all the phone calls related to the department and transfer it & indexing phone numbers and addresses.
  • Preparing and coordinating appointments and meetings for the department.
  • Keeping an excellent look for all the departments offices to be such clean and organized and following-up on the offices cleanness by the office boy.
  • Keeping and maintaining a comprehensive filing system of the manager s office in a way guarantee its safety and fast calling.
  • Writing and printing the letters and writings of the manager.
  • Receiving, directing and sending the mails and faxes comes to the department or one of the department employees and indexing this messages
  • Organizing and indexing all the internal reports coming from other departments or divisions of the company, present it to the direct manager, follow-up on the decision of the direct manager regarding it and record it in its own records.
  • Assuring that all the offices and electrical devices are in a proper condition and requesting the maintenance officer from inside the company and follow-up the maintenance work for all the offices or devices in the department offices.
  • Providing and assuring the availability of all the stationery for her office and all the offices in the department.
  • Writing a weekly report of what accomplished in work and what have been postponed with a reason of postponing and send it to the direct manager.
  • Making all the processes of photo copying if needed like scanning and copying.
  • Deputizing one of her colleagues in case of her absence after the approval of her direct manager.
  • Receiving orders from the customers through phone calls or emails and transfer it to sales department after informing of her direct manager (Sales Secretaries).
  • Communicating verbal, telephone and written messages to staff in the department.
  • Applying the company policies and work for achieving its goals according to the company ethics, rules & regulations.
  • Performing any other task assigned by the direct manager related to the field of work.

Desired Candidate Profile

  • Bachelor degree.
  • Excellent in MS Office & internet browsing
  • Excellent in keyboard typewriting in English and Arabic.
  • Very good in English & Arabic (written & spoken).
  • Worked as secretary in a reputable organization at least 2 years.
  • Fluent in English.
  • Excellent time management and communication skills.
