Job Description

Roles & Responsibilities

Key Responsibilities

  • Create and maintain dashboards using tools such as Excel, Smartsheet, SQL, and other reporting tools.
  • Analyze operational and vendor-related data to support decision-making and compliance visibility.
  • Manage vendor compliance and verification processes, including Avetta coordination.
  • Collect, validate, and track vendor compliance documents.
  • Liaise with vendors to resolve compliance gaps and maintain accurate compliance records.
  • Coordinate the end-to-end vendor onboarding process.
  • Capture and update vendor details across required systems.
  • Communicate onboarding requirements and follow up to ensure timely completion.
  • Manage Welcome Access requests for vendors and contractors.
  • Coordinate access updates and support frequent crew changes throughout the project lifecycle.
  • Maintain accurate access, workforce, vendor, and compliance records.
  • Distribute VCO links for Site Safety Orientation.
  • Track and consolidate safety orientation completion records.
  • Align safety orientation records with Avetta compliance requirements.
  • Escalate any issues that may impact project timelines, access readiness, or compliance status.

Desired Candidate Profile

Bachelor's degree in Engineering, Warehouse Logistics Management, or a related field.

  • Minimum 3 years of relevant experience in operations, vendor coordination, logistics administration, or a similar role.
  • Experience handling large-scale vendors and coordinating with internal stakeholders.
  • Strong knowledge of Microsoft Office tools, especially Excel.
  • Good knowledge of Smartsheet, dashboards, SQL, and data analytics.
  • Familiarity with AI tools and data handling is preferred.
  • Strong documentation, follow-up, and reporting skills.
  • Good English communication skills, both verbal and written.
  • Ability to work during US time-zone coverage hours.
