Job Description
Roles & Responsibilities
1. Operations Management
- Oversee day-to-day operational activities, ensuring seamless coordination between logistics, procurement, and site support teams.
- Supervise movement of materials, equipment, and manpower across sites and projects.
- Track project support KPIs and ensure operational bottlenecks are identified and resolved quickly.
2. Office Administration
- Manage office infrastructure, services, and administrative personnel.
- Ensure all documentation, filing systems, and internal communications are efficiently maintained.
- Supervise facility maintenance, office utilities, cleaning contracts, drivers, and admin assistants.
3. Procurement Support
- Coordinate with the procurement department for timely sourcing of materials, consumables, and services.
- Follow up on purchase orders, supplier delivery schedules, and GRNs (Goods Receipt Notes).
- Assist in vendor prequalification, price comparison, and liaising with warehouse and store teams.
4. ADNOC Liaison & Regulatory Compliance
- Act as the primary liaison for all ADNOC-related administrative and operational matters CIVIL ONLY.
- Ensure company compliance with ADNOC's project registration, gate pass systems, logistics permits, safety requirements, and documentation protocols.
- Coordinate with ADNOC’s project engineers, site inspectors, and portal administrators for smooth day-to-day compliance.
5. Staff Coordination & Logistics
- Oversee staff accommodation, transportation, mobilization/demobilization, and onboarding.
- Ensure accurate documentation of staff records, leave planning, gate pass status, and health insurance renewals.
- Manage relationships with manpower suppliers, transport contractors, and housing vendors.
6. Inventory & Asset Monitoring
- Assist in the upkeep of asset registers, inventory tracking, and physical audits.
- Support material forecasting based on project requirements and issue alerts on shortfalls.
7. Coordination & Reporting
- Prepare weekly reports covering logistics status, procurement follow-ups, ADNOC compliance, and admin KPIs.
- Attend internal coordination meetings and escalate issues to top management as needed.
Desired Candidate Profile
1. Educational Background
- Bachelor’s Degree in Business Administration, Logistics, Engineering, or related field.
- Additional certifications in Procurement, Project Management, or Facilities Management are an advantage.
2. Experience
- Minimum 7–10 years of relevant experience, including:
Office administration and site support.
Logistics and procurement coordination.. - Strong understanding of ADNOC standards, portal systems, gate pass procedures, and site clearance protocols.
3. Skills & Competencies
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills in English.
- Proficient in MS Office Suite, basic ERP systems like Zoho, Odoo and government portals.
- Strong negotiation and follow-up skills with suppliers and service providers.
4. Personal Attributes
- Proactive, detail-oriented, and reliable.
- Able to work independently and manage cross-functional teams.
- Strong sense of confidentiality, ethics, and professionalism.
5. Additional Requirements
- Valid UAE Driving License (mandatory).
- Willingness to travel to project sites across Abu Dhabi.
- Preference for candidates with experience in construction or oil & gas project environments.
