Job Description

Roles & Responsibilities

  • Support day-to-day operations of the mall by providing administrative and coordination support across all operational activities.

  • Ensure adherence to operational SOPs, policies, and health & safety standards across tenants, contractors, and service providers.

  • Prepare weekly and monthly operational reports, maintain documentation, and update systems (DMS, trackers, records).

  • Track work permits, complaints, and follow-ups, ensuring timely resolution and proper documentation.

  • Attend operations meetings, prepare minutes of meetings (MOM), and follow up on action points.

  • Coordinate tenant onboarding, fit-out, handovers, and operational requirements to ensure smooth integration into the mall.

  • Maintain and update tenant records, inspection reports, and compliance documentation, ensuring all issues are tracked and closed.

  • Coordinate with tenants for access, shutdowns, maintenance works, and operational notifications.

  • Work closely with internal departments (FM, Leasing, Security, Marketing, etc.) to resolve operational issues across the mall.

  • Coordinate contractor activities, ensuring compliance with permits, documentation, SLAs, and mall policies.

  • Monitor performance of soft service providers (cleaning, security, pest control, etc.) and report any gaps or non-compliance.

  • Support audit processes by preparing required documentation and ensuring timely closure of audit findings.

  • Assist in managing operational budgets by tracking OPEX/CAPEX expenses and coordinating with procurement on tendering processes.

  • Support cost control initiatives and ensure operational activities are executed within approved budgets.

Desired Candidate Profile

  • Bachelor’s degree in Business Administration or a related field.

  • Minimum 2 years of experience in operations, administration, facilities management, hospitality, or a similar environment (mall experience is a plus).

  • Strong coordination skills with the ability to manage multiple stakeholders (tenants, contractors, internal teams).

  • Experience handling documentation, reporting, and operational tracking systems.

  • Good understanding of operational processes, health & safety compliance, and tenant management.

  • Strong communication skills (written and verbal) with the ability to follow up and push for closures.

  • Organized, detail-oriented, and capable of managing multiple tasks in a fast-paced environment.

  • Basic financial awareness (tracking budgets, expenses, PRs, invoices) is an advantage.

  • Proficient in Microsoft Office and comfortable working with reporting tools and systems.

  • Strong sense of ownership, accountability, and problem-solving mindset.
