Job Description
Roles & Responsibilities
You will work under the Operational Manager and act as a hands-on executor who keeps day-to-day operations moving across the business. Your mission is to close tasks, fix issues, run campaigns, and maintain operational discipline. You will coordinate with internal team members and external partners (e.g., developers, platform partners, logistics companies, marketing vendors), but you are not hired as a manager who delegates. You will execute and deliver.
Key Responsibilities (Hands-On)1) Operations Execution & Team Follow-Up (Daily)
- Maintain a single source of truth for all tasks and deliverables.
- Follow up daily on tasks across: vendor onboarding, customer support, content, campaigns, logistics, and technical items.
- Track blockers, escalate when needed, and ensure deadlines are met.
- Prepare short daily updates + weekly summary report (completed / in progress / blocked / next actions).
2) Technical Troubleshooting + Escalation (You fix first, escalate when needed)
- Troubleshoot operational technical issues across marketplace tools, website/platform operations, integrations, payments, logistics tracking, and automation flows.
- Document issues clearly (steps to reproduce, screenshots, severity, expected vs actual).
- Escalate to developers/technical partners with proper specifications and follow through until resolved.
- Perform QA testing after fixes and confirm the business flow is working.
3) CRM Setup, Automation & Discipline
- Maintain and improve CRM pipelines for vendors, customers, and partnerships.
- Build automation workflows such as:
- task reminders and SLA alerts
- follow-up sequences
- lead/vendor assignment logic (rules-based)
- standardized templates (emails/messages)
- dashboards and performance reports
- Ensure the team uses CRM correctly: clean stages, no stale leads, accurate notes.
4) Marketing Execution + Social Media (Hands-On)
You will personally manage and execute:
- Social media posting (daily/weekly plan): Instagram/TikTok/Facebook/LinkedIn (as required)
- Content calendar creation and follow-up (shooting coordination if needed)
- Basic creative production using tools like Canva (simple designs, resizing, captions)
- Campaign execution support:
- coordinate with agencies/freelancers when needed
- prepare briefs and track deliverables
- launch, monitor, and report on campaign performance (budget, results, learnings)
- Weekly performance reporting: reach, engagement, leads, website sessions, orders (as applicable)
5) Vendor Onboarding Operations (Hands-On)
- Track vendor onboarding pipeline end-to-end:
- document collection and approvals
- catalog readiness and product upload coordination
- training vendors on the process
- Prepare vendor onboarding packs (SOPs, templates, checklists)
- Maintain vendor status dashboard: who is blocked and why, next steps, owner, deadline.
6) Logistics / Warehouse Operations (Hands-On)
You will support and manage day-to-day logistics operations, including:
- Coordinating pickups, deliveries, returns, and COD processes with logistics partners.
- Following up shipment statuses, handling exceptions (delays, failed deliveries, damaged items), and ensuring resolution.
- Supporting cross-dock/warehouse workflows when applicable (receiving, dispatching, labeling/packaging coordination, inventory handover processes).
- Preparing operational reports related to delivery performance, returns reasons, and vendor fulfillment performance.
7) Customer Support Coordination + Quality
- Monitor customer support cases and ensure response time targets are met.
- Identify recurring issues and propose process fixes.
- Prepare weekly CS summary: top issues, refunds/returns reasons, action items.
8) System Administration & IT Operations (Hands-On)
You will handle day-to-day operational IT tasks, including:
- Supporting ERP basics (including Microsoft Business Central as assigned): users, flows, and coordination with technical partners.
- User administration: change permissions, roles, access levels, and basic security settings in company tools.
- Configure and maintain workflows/automations in business tools when needed.
- Install, configure, and troubleshoot business software on company dev
Desired Candidate Profile
This is a hands-on execution role, not a managerial position. You will do the work yourself across operations, marketing, CRM automation, customer support coordination, administrative tasks, and some IT/system administration tasks.
