Job Description – Operations Manager (CCTV & ELV Division)

Location: Ruwi, Muscat, Sultanate of Oman

Department: Operations & Projects

Reporting To: Sales Director / General Manager

Position Overview

The Operations Manager will oversee day-to-day operations of the CCTV and ELV business, managing inventory, procurement, project execution, and tendering activities. The role requires a hands-on professional who can efficiently coordinate between sales, project, and technical teams while maintaining close communication with the principal brand Pollo Cameras and ensuring timely delivery of projects within budget.


Key Responsibilities


1. Brand & Inventory Management

• Serve as the primary point of contact for the principal brand Pollo Cameras for all communications related to stock, orders, and product planning.

• Plan and maintain optimal stock levels for the showroom and projects.

• Manage stock ordering, inward/outward inventory movement, and issue invoices to clients.

• Maintain all inventory and sales records through the company ERP and Excel tracking sheets.

• Conduct periodic stock audits and reconcile with accounting records.


2. Procurement & Material Planning

• Coordinate with project teams to identify material requirements and plan procurement schedules accordingly.

• Source materials, equipment, and accessories from local and international suppliers at the best price and lead time.

• Ensure all required items are available on site before project execution timelines.

• Monitor and control procurement costs to maintain profitability.


3. Project Coordination & Delivery

• Coordinate with project managers and technicians for work progress and resource allocation.

• Prepare and monitor project cash flow, ensuring material and manpower availability.

• Review project timelines and ensure smooth execution with cost and quality control.

• Resolve operational bottlenecks to prevent project delays.


4. Tendering & Business Development Support

• Regularly review public and private tender portals/websites to identify relevant opportunities.

• Download and organize tender documents, upload them on CRM, and update management for approval on participation.

• Coordinate with suppliers for BOQ pricing and with the technical team for specifications.

• Prepare project costing sheets, pricing, and final bid submissions in collaboration with the Sales Manager.

• Ensure all documentation and compliance requirements for tender bids are completed accurately and on time.


5. Financial & Administrative Responsibilities

• Maintain accurate bookkeeping of all purchases, sales, and project expenses in ERP and Excel.

• Prepare periodic financial summaries for management review.

• Monitor accounts receivable/payable in coordination with the finance team.

• Ensure all invoices, purchase orders, and delivery notes are accurately recorded and filed.


6. Reporting & Coordination

• Provide regular reports on stock status, project progress, procurement, and tender status to the Sales Director.

• Liaise with internal departments (Sales, Technical, Finance) to ensure operational alignment.

• Maintain excellent relations with local suppliers, clients, and brand representatives.


Qualifications & Experience

• Bachelor’s degree in Business Administration, Engineering, Supply Chain, or related field.

• 5+ years of experience in operations or project coordination in the ELV, CCTV, or electrical industry (GCC experience preferred).

• Strong knowledge of procurement, stock management, and tendering procedures.

• Proficiency in Microsoft Excel, ERP systems, and basic accounting principles.

• Familiarity with CCTV, Access Control, and ELV systems will be an advantage.
