Job Description

Roles & Responsibilities

We are seeking a Payment & Settlement Senior Associate to join our Operations Division and oversee the execution, monitoring, and control of all payables and receivables across the firm. This role requires vigilance, efficiency, and precision to ensure that payments, distributions, and settlements are executed accurately, on time, and in full compliance with internal controls. The successful candidate will work closely with the Finance and Operations teams to strengthen payment governance, enhance process automation, and safeguard the firm against operational risks and fraud. It is an opportunity to play a critical role in the firm s operational backbone, contributing to financial accuracy and control across jurisdictions.

Key Responsibilities:

Payment Execution & Oversight:

  • Oversee the execution of all payables and receivables, including dividend distributions, receivables, third-party vendor payments, and internal expenses.
  • Supervise bank account monitoring to ensure payment completion, resolve rejected or returned transactions, and escalate issues as required.
  • Ensure precision and compliance in the preparation and verification of distribution calculations for entities within the group.
  • Contribute to cash management activities by monitoring account balances, and by assessing the impact of internal fund transfers between accounts.

Process Control & Fraud Prevention:

  • Implement and enforce robust payment control processes in close coordination with Finance.
  • Understand the structure and rationale behind cash movements between fund entities to ensure proper execution and alignment with internal controls and compliance with fund flow requirements.
  • Track key operational metrics such as payment delivery times, delays, and error rates to strengthen efficiency and accountability.
  • Establish and maintain strong fraud prevention mechanisms, escalating irregularities or risks to the Head of Operations.
  • Support the Head of Operations in process management by identifying bottlenecks, process frictions, or areas requiring escalation.
  • Introduce and maintain trackers or planners for open tasks (initially manual, migrating to workflow tools) to improve follow-through and accountability.
  • Drive the adoption of new payment systems, tools, and automation to enhance accuracy, efficiency, and scalability.

Stakeholder & Client Orientation:

  • Act as the main point of contact for stakeholders, vendors, suppliers, and internal teams regarding payment processes.
  • Provide timely updates on payment statuses and ensure transparent communication with clients and Relationship Managers.
  • Uphold strong customer orientation by resolving payment inquiries promptly and professionally.

Team Leadership & Development:

  • Supervise and mentor junior members of the Payments team, setting performance standards and promoting a culture of vigilance, accountability, and process-driven execution.
  • Encourage cross-training within the team to build resilience and ensure operational continuity.
  • Foster continuous improvement and enforce adherence to company values across the team.

Qualifications and Key Skills:

Education:

  • Bachelor s degree in business administration, Accounting, Finance, or a related field.

Experience:

  • 5 8 years of experience in payments, settlements, or operational finance roles, including at least 1 2 years in a supervisory capacity.
  • Preferred experience in asset management, banking, or financial services with exposure to back-office and compliance operations.

Technical / Functional Skills:

  • Leadership & Oversight: Proven supervisory experience in payment and settlement operations, with focus on fraud prevention and financial controls.
  • Process Orientation: Structured mindset with ability to track, monitor, and enhance processes for greater efficiency and accountability.
  • Financial & Operational Knowledge: Strong understanding of payment workflows, reconciliations, and regulatory requirements within asset management or financial services.
  • Analytical Skills: Ability to monitor key operational metrics, analyze discrepancies, and ensure precision in execution.
  • Technology Proficiency: Familiarity with payment systems, fund administration platforms, and financial control tools; proactive in adopting automation and workflow solutions.

Behavioral Competencies:

  • Detail-oriented: Sharp eye for accuracy when reviewing and approving payments, ensuring figures, IBANs and documentation are correct.
  • Collaboration: Effective partnership with Finance and Operations leadership to maintain robust controls and governance.
  • Customer Orientation: Commitment to client service excellence through accurate and timely payment execution.
  • Organizational Skills: Ability to prioritize tasks, manage trackers and follow-ups, and ensure timely closure of open items.
  • Communication & Discretion: Strong communication skills with ability to handle sensitive and confidential information.
  • Team Management: Experience guiding and developing junior staff in a high-performance, process-driven environment.
