Job Description

Roles & Responsibilities

Executive & Administrative Support

  • Manage the CEO s calendar, scheduling meetings, appointments, and travel arrangements.
  • Prepare correspondence, reports, presentations, and briefing documents.
  • Screen and prioritize emails, phone calls, and requests, ensuring timely follow-up.
  • Organize and maintain files, records, and confidential documents.

Meeting & Communication Management

  • Coordinate internal and external meetings, including preparing agendas and minutes.
  • Act as the first point of contact between the CEO and internal/external stakeholders.
  • Ensure effective communication and alignment between the CEO s office and other departments.

Personal Support

  • Assist with personal errands, family arrangements, and ad-hoc requests as needed.
  • Manage personal travel, events, and administrative requirements.
  • Handle sensitive matters with absolute discretion and trust.

Operational Support

  • Follow up on projects, deadlines, and deliverables to support the CEO s commitments.
  • Conduct research and prepare background information for meetings and decision-making.
  • Coordinate with service providers, vendors, and partners as required.

Desired Candidate Profile

Bachelor s degree in Business Administration, Management, or a related field (preferred).

  • Proven experience as an Executive Assistant, Personal Assistant, or Administrative Assistant (minimum 5 years).
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication skills in [English/French/Arabic as applicable].
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work under pressure, manage competing priorities, and maintain confidentiality.
  • High level of professionalism, discretion, and adaptability.
