Job Description

Roles & Responsibilities

  • Manage and coordinate daily schedules, appointments, and meetings for senior executives.
  • Screen and prioritize incoming communications, including emails, phone calls, and correspondence.
  • Prepare, edit, and proofread documents, reports, and presentations for executive review.
  • Arrange complex travel itineraries, accommodations, and logistics for business trips and events.
  • Handle confidential information with discretion and maintain a high level of professionalism at all times.
  • Organize and maintain filing systems, both electronic and physical, ensuring easy retrieval of information.
  • Liaise with internal departments and external stakeholders to facilitate smooth communication and workflow.
  • Assist in the preparation and coordination of executive meetings, including agenda creation and minute-taking.
  • Track and follow up on action items and deadlines to ensure timely completion of tasks.
  • Support ad hoc administrative and project-related tasks as required by the executive team.

Desired Candidate Profile

  • Minimum of 5 years of experience as a Personal Assistant, Executive Assistant, or in a similar administrative role.
  • Proven ability to manage multiple priorities and work effectively in a fast-paced office environment.
  • Exceptional organizational and time-management skills with keen attention to detail.
  • Strong written and verbal communication skills in English (Arabic proficiency is a plus).
  • Demonstrated ability to handle sensitive and confidential information with integrity.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience coordinating complex travel arrangements and event logistics.
  • Ability to work independently and proactively anticipate executive needs.
  • Strong interpersonal skills and the ability to build relationships at all organizational levels.
  • Flexibility to adapt to changing priorities and business needs.
