Roles & Responsibilities

Executive Support & Coordination

  • Manage and optimize the CEO's daily calendar, ensuring all priorities, meetings, and deadlines are effectively coordinated.
  • Balance strategic commitments, internal obligations, and external engagements with sound judgment and foresight.
  • Prepare detailed meeting materials, including agendas, briefing notes, talking points, reports, and presentations.
  • Ensure meeting outcomes are documented and that follow-up actions are delegated and completed on schedule.
  • Serve as the primary point of contact for all communication directed to the CEO, filtering and prioritizing requests with professionalism.
  • Screen and manage emails, phone calls, and correspondence, responding on behalf of the CEO when appropriate.
  • Coordinate high-level meetings, board sessions, offsite leadership retreats, and strategic workshops.
  • Maintain awareness of key deadlines, milestones, and organizational priorities to proactively anticipate executive needs.
  • Support the CEO preparation for conferences, public engagements, media interviews, and investor/partner meetings.
  • Draft and edit confidential memos, speeches, proposals, and executive-level communications.
  • Manage sensitive assignments and urgent requests requiring executive-level attention.
  • Uphold absolute confidentiality, professionalism, and composure in all interactions.

Team Assisting & Follow-Up

  • Support internal departments in executing tasks assigned by the CEO
  • Track the progress of key projects and ensure timely submission of deliverables.
  • Maintain consistent communication between the executive office and team leaders.
  • Follow up on assigned tasks and deadlines, ensuring action items are implemented.
  • Assist in organizing team documentation, meetings, shared calendars, and coordination activities.
  • Facilitate effective communication flow across departments to support organizational efficiency.

Strategic & Confidential Responsibilities

  • Prepare executive-level reports and analytical summaries to support strategic decision-making.
  • Conduct research, gather data, and compile insights for business initiatives and presentations.
  • Handle confidential information with the highest level of integrity and security.
  • Support the CEO with strategic planning activities, including tracking KPIs, milestones, and initiatives.
  • Manage confidential files, contracts, and sensitive documents.

Communication & Stakeholder Engagement

  • Liaise professionally with board members, senior leaders, partners, government entities, and VIPs.
  • Draft clear, professional communication on behalf of the CEO.
  • Create strong internal relationships to support collaboration and information flow.
  • Represent the executive office with credibility, professionalism, and discretion.

Operational, Administrative & Travel Management

  • Organize international and domestic travel, including flights, accommodation, visas, and logistical arrangements.
  • Prepare travel itineraries and ensure all supporting documents are ready.
  • Manage expense reports, reimbursements, and financial documentation.
  • Maintain filing systems, confidential records, and digital organization.
  • Handle personal tasks for the CEO as required.
