Roles & Responsibilities

  • Manage the CEO's calendar with precision, ensuring optimal scheduling of meetings and events to maximize productivity.
  • Act as the primary point of contact between the CEO and internal/external stakeholders, exhibiting professionalism and discretion.
  • Prepare comprehensive reports and presentations, synthesizing information to support strategic decision-making.
  • Coordinate travel logistics, including itineraries and accommodations, ensuring seamless transitions for the CEO's engagements.
  • Draft and manage correspondence on behalf of the CEO, maintaining a consistent and authoritative tone.
  • Research and compile background information for meetings, providing the CEO with relevant insights and context.
  • Assist in project management by tracking deadlines, deliverables, and progress on key initiatives.
  • Maintain confidentiality on sensitive information, establishing trust and integrity in the CEO's office.
  • Utilize technology and software to enhance efficiency, including advanced proficiency in office applications and project management tools.
  • Organize and facilitate team meetings, ensuring effective communication and follow-up on action items.

Desired Candidate Profile

  • Bachelor's degree in Business Administration, Management, or a related field, showcasing foundational knowledge and strategic thinking.
  • Minimum 5 years of experience in executive assistance or a similar role, with a proven track record of supporting high-level executives.
  • Professional certification such as Certified Administrative Professional (CAP) or Executive Assistant certification preferred, highlighting commitment to the profession.
  • Experience in the relevant industry (e.g., tech, finance, healthcare) to ensure familiarity with sector-specific challenges and terminology.
  • Fluency in English is mandatory; additional language skills (e.g., Mandarin, Spanish) are highly desirable for international communications.
  • Exceptional organizational skills, with an ability to prioritize tasks effectively in a fast-paced environment.
  • Strong interpersonal and communication skills, enabling the candidate to interact confidently with diverse stakeholders.
  • Proficiency in digital tools and platforms, including CRM software, project management applications, and advanced MS Office skills.
