Job Description

Roles & Responsibilities

  • Provide full spectrum secretarial and administrative support to senior leadership

  • Manage complex calendars, scheduling meetings, appointments, and travel arrangements

  • Coordinate internal and external meetings, including preparation of agendas, minutes, and follow ups

  • Handle confidential documents, correspondence, and reports with utmost discretion

  • Act as a liaison between the executive office and internal/external stakeholders

  • Screen calls, emails, and communications, ensuring timely and appropriate responses

  • Organize business travel including flights, accommodation, visa arrangements, and itineraries

  • Assist in preparing presentations, reports, and briefing materials

  • Track tasks, deadlines, and key action items to ensure smooth workflow

  • Support in event coordination, including executive meetings and corporate functions

  • Maintain organized filing systems (digital and physical)

Desired Candidate Profile

  • Bachelor’s Degree in Business Administration or related field

  • Minimum 10-15 years of experience supporting senior executives

  • Fluency in English and French or Spanish (both written and spoken) is essential

  • Strong organizational, multitasking, and time management skills

  • High level of integrity, discretion, and professionalism

  • Proficiency in Microsoft Office tools

  • Flexible with working hours due to international travel schedules.

  • Presentable, professional, and confident in handling VIP interactions.

  • Prior experience in a similar role supporting senior leadership is an advantage.
