Roles & Responsibilities

KEY RESPONSIBILITIES:

1. Executive Support:

  • Provide comprehensive administrative and secretarial support to the Director and occasionally to senior management.
  • Manage complex calendars, schedule internal and external meetings, and coordinate domestic and international travel arrangements.
  • Screen emails and calls, prioritize correspondence, and respond on behalf of the Director when required.

2. Communication & Coordination:

  • Serve as the primary point of contact between the Director and internal/external stakeholders.
  • Prepare high-quality reports, presentations, and briefing materials.
  • Coordinate with department heads across multiple companies to ensure timely updates and submissions.

3. Meeting & Event Management:

  • Organize board meetings, leadership offsites, and high-level conferences, including agendas, minutes, and follow-ups.
  • Track action items and ensure timely completion.

4. Confidentiality & Discretion:

  • Handle sensitive business and personal matters with the highest level of confidentiality and integrity.
  • Maintain organized and secure filing systems for confidential records.

5. Project & Operational Support:

  • Assist the Director in monitoring strategic initiatives and key projects across the group.
  • Support deadlines, action items, and stakeholder engagement.
  • Conduct research, compile reports, and provide insights as needed.

6. Personal & Household Support (if required):

  • Assist in personal or household administrative tasks when applicable.

Desired Candidate Profile

Our client, a diversified and well-established blue-chip group, is seeking a highly professional, proactive, and experienced Personal Assistant / Executive Secretary / Executive Assistant to provide top-level support to the Director and senior management team. The ideal candidate will demonstrate exceptional organizational, communication, and multitasking skills, with the ability to manage confidential information with utmost discretion.

Pre Requisites

  • Bachelor s degree in Business Administration, Secretarial Studies, or equivalent professional qualification.
  • 6+ years of proven experience as a Personal Assistant, Executive Secretary, or Executive Assistant.
  • Experience supporting C-level executives or Group-level roles is highly desirable.
  • Strong command of English (written and verbal).
  • Exceptional organizational, multitasking, and interpersonal skills.
  • Proficiency in MS Office, calendar management, and corporate communication.
