Job Description
Roles & Responsibilities
Planning & Scheduling
- Understand project s documents, SOW and project s requirements.
- Ensure adequate involvement/engagement of key parties and/or stakeholders to ensure smooth and realistic planning for the project.
- Break down projects into work breakdown structures (WBS), work packages and logic-driven activities.
- Create and maintain overall project s plans/schedules using related software (i.e., Primavera P6, or equivalent).
- Develop tentative schedules, baseline schedules, revised and recovery schedules whenever needed/required.
- Define milestones, dependencies, constraints, resources, and durations.
- Review / approve project s plans, schedules with the assigned project manager/site manager/construction manager and relevant influencing parties.
- Discuss, explain the created project s plans/schedules with related parties to ensure full understanding, get approvals, etc. whenever needed/required.
Follow-Up & Progress Monitoring
- Collect periodic progress data/information (i.e., daily/weekly/monthly) from construction teams, subcontractors, and suppliers.
- Identify critical path for effective follow-up/tracking and performance measurement and/or evaluation.
- Update project schedules/plans, progress curves (i.e., S-curve), earned value metrics, and productivity reports.
- Identify schedule slippages, critical path risks, and potential improvement/opportunities (i.e., acceleration, etc.).
- Discuss, explain the updated project s plans/schedules and progress/performance reports with related parties to ensure full integration and engagement of project s parties/stakeholders whenever needed/required.
- Provide support, advice for project s team in case of management of emergencies, recovery and corrective plans whenever needed/required.
- Monitor/track project s resources (i.e., resources usage, allocation, etc.) and provide recommendations for optimization (whenever needed).
Change Management
- Maintain live robust change log and assess schedule impact of variations/deviations for better tracking and control.
- Review and analyze site instructions, change requests/orders and study their impact on project s schedule.
- Reschedule after approved changes and communicate implications to relevant stakeholders.
- Distribute/escalate impacted plans to relevant internal/external parties/stakeholders in adequate time for approval and/or decision making.
- Maintain Change Register with accountable owners and due dates and distribute it to relevant internal/external parties/stakeholders in reasonable time.
- Participate in delay analysis/changes evaluation/measuring process with Contract department whenever needed.
Reporting & Communication
- Produce regular progress/performance reports (i.e., daily/weekly/monthly) with clear visuals: Gantt charts, milestones, and performance metrics.
- Present schedule status updates to project teams and clients, highlighting risks and recommended corrective/mitigation actions.
- Maintain and distribute look-ahead schedules (i.e., one-month look-ahead) and recovery plans.
Risk & Contingency Management
- Identify schedule risks, develop mitigation actions/plans, and track their efficiency/effectiveness.
- Maintain contingency buffers and scenario analyses for potential delays/changes.
Coordination & Collaboration
- Liaise with relevant internal/external parties/stakeholders to achieve integration/engagement and align on sequences and lead times.
- Coordinate with subcontractors to align their schedules and integrate them into the project s master schedule/plan.
- Attend and contribute to project s meetings (i.e., planning, coordination, and progress review meetings).
Data Quality & Systems
- Ensure data integrity in scheduling software and reporting databases.
- Standardize data inputs, nomenclature, and progress measurement methods.
- Recommend and implement process improvements for planning governance.
Compliance & Quality
- Ensure schedules comply with contract requirements, standards, and project specifications.
- Ensure implement and compliance with planning & follow-up procedures/processes.
- Support audits and quality reviews related to schedule governance.
- Ensure that project s documents/records are well prepared, organized, filed in neat and tidy condition, and all are distributed and circulated according to the approved communication plan/matrix.
Training, Process Improvement & Knowledge Management
- Develop training on planning & follow-up.
- Continuously improve processes, templates, and system usage.
- Capture lessons learned and promoted best practices across projects.
Desired Candidate Profile
- Educational Qualification Requirement for the Position: Bachelor's degree or above, majoring in engineering management or related disciplines.
- At least 7 years of experience in project planning management in petrochemical construction engineering general contracting or construction projects.
- Excellent communication and coordination skills, with proficiency in English listening, speaking, reading and writing to serve as a working language.
- Priority will be given to those with experience in project planning management of projects such as synthetic ammonia, urea and DAP.
- Familiar with using Primavera P6 and Microsoft Project to formulate project schedule management at all levels (including monitoring the implementation of schedules, providing adjustment suggestions and reports).
- In good health, free from infectious diseases and drug-dependent illnesses such as asthma and hypertension.
