Job Description

Roles & Responsibilities

Procurement Planning:

  • Assist in developing and implementing effective procurement strategies to meet organizational goals.

  • Collaborate with various departments to understand their procurement needs and requirements.

  • Forecast demand and plan procurement activities to ensure timely availability of necessary goods and services.

Supplier Management:

  • Identify, evaluate, and select suppliers to ensure they meet the organization's quality, cost, and reliability standards.

  • Establish and maintain strong relationships with key suppliers to foster long-term partnerships.

Negotiation and Contract Management:

  • Negotiate favorable terms, conditions, and pricing with suppliers to secure the best possible deals for the company as a first stage of negotiation.

  • Draft, review, and manage contracts and agreements with suppliers, ensuring all terms are clear and enforceable.

  • Manage contract renewals and ensure compliance with the terms and conditions.

Order Processing:

  • Manage the end-to-end procurement process, from requisition to payment, ensuring accuracy and timeliness.

  • Ensure compliance with internal procurement policies and procedures.

  • Ensure all purchase orders are processed correctly and resolve any discrepancies promptly.

  • Maintain accurate records of orders, deliveries, and payments.

Cost Control and Budget Management:

  • Identify opportunities for cost savings and implement measures to achieve financial efficiencies.

Inventory Management:

  • Coordinate with inventory and warehouse teams to manage stock levels effectively.

  • Ensure optimal inventory levels are maintained to meet operational needs without overstocking.

Compliance and Risk Management:

  • Ensure all procurement activities comply with company policies, procedures, and ethical standards.

  • Identify and mitigate risks associated with the procurement process.

  • Stay updated on industry regulations and standards to ensure compliance.

  • Ensure continuity of supply to avoid disruptions to business operations.

Reporting and Analysis:

  • Prepare regular reports on procurement activities, costs, and supplier performance.

  • Analyze procurement data to identify trends and areas for improvement.

Team Collaboration:

  • Work closely with cross-functional teams, including finance, operations, and legal, to ensure seamless procurement operations.

  • Provide support, training, and guidance to junior procurement staff, if applicable.

  • Foster a collaborative and productive working environment within the procurement team.

Compliance and Ethics:

  • Ensure all procurement activities adhere to legal, ethical, and regulatory standards.

  • Promote a culture of ethical procurement practices within the organization.

Absolute Discretion and Commitment to Confidentiality:

  • Maintain strict confidentiality and discretion in handling sensitive information, financial data, documents, discussions, and communication.

Compliance with Policies & Procedures:

  • Uphold ethical standards and comply with all company policies, procedures, and legal requirements.

Desired Candidate Profile

  • Bachelor’s degree in Supply Chain Management, Business Administration, or a related field; a Master’s degree is a plus.

  • Minimum of 5 years of progressive experience in procurement or supply chain management within a relevant industry, demonstrating expertise.

  • Professional certifications such as Certified Purchasing Professional (CPP) or Certified Supply Chain Professional (CSCP) are highly regarded.

  • Experience in working with international suppliers and understanding global sourcing dynamics is essential.
