The Procurement Specialist is responsible for coordinating daily purchasing activities and supporting the end-to-end procurement process. This role involves sourcing, negotiating, and purchasing goods and services that meet the organization s quality, cost, and delivery standards. The Procurement Specialist maintains accurate procurement records, ensures compliance with policies, and contributes to continuous procurement process improvements.
Duties and Responsibilities:
Coordinate daily procurement activities, including issuing purchase orders and managing approval workflows.
Source suppliers and vendors that meet company standards for quality, cost-effectiveness, and reliability.
Solicit and analyze quotes, proposals, and bid submissions from potential suppliers.
Negotiate pricing, contractual terms, and conditions to secure optimal value.
Purchase and negotiate materials and supplies from approved vendors.
Communicate purchase orders effectively and in a timely manner to suppliers.
Develop and maintain a comprehensive supplier contract database.
Estimate and establish procurement budgets aligned with organizational needs.
Review and evaluate vendor and supplier performance to ensure service quality and reliability.
Ensure that suppliers deliver items as per specifications and provide accurate shipping documents.
Assist in maintaining the Purchase Order System to ensure accuracy and alignment with business needs.
Review the value and cost-efficiency of existing suppliers and recommend improvements.
Maintain a secure and organized filing system for all procurement documentation, including contracts, quotations, and purchase orders, in line with department policies.
Treat all suppliers fairly, avoiding conflicts of interest, and ensuring compliance with legal and organizational obligations.
Monitor receipt of purchased materials and services, maintaining records of purchases, inventory, and deliveries.
Support internal departments throughout the procurement process and promote best practices.
Track and manage open orders to ensure on-time delivery and resolve issues proactively.
Ensure all procurement activities comply with company policies, procedures, and applicable regulations.
Monitor market trends, pricing changes, and supply chain risks.
Conduct cost analyses to inform purchasing decisions.
Prepare and present regular procurement reports and metrics to management.
Perform additional procurement-related duties as assigned by management.
Desired Skills & Experience:
Qualifications & Experience:
Bachelor s degree in Supply Chain Management, Business Administration, Procurement, or a related field.
Minimum of 3 years of relevant experience in procurement, purchasing, or supply chain operations.
Strong negotiation and vendor management skills.
Knowledge of procurement principles, practices, and regulatory requirements.
Familiarity with ERP or procurement software systems.
Excellent organizational and time-management skills.
Proficiency in Microsoft Office, especially Excel, and purchasing systems.
High level of integrity and professionalism in dealings with suppliers and stakeholders.
Strong communication skills in English; proficiency in Arabic is an advantage.
Valid Qatar Driving License.
Must be available in Qatar with a valid QID and QDL.
Additional Skills:
Good communication skills in English; Arabic language skills are an advantage.
Ability to work effectively in a multicultural environment and handle multiple priorities.
