Job Description
Roles & Responsibilities
Main tasks:

Document management and distribution
-
Ensure the reference and monitoring of documents transmitted by the writers.

Verify the formal conformity of the files (reference, revision, designation, date, signature, etc.).
-
Organize and carry out contractual deliveries to the client (email, FTP, other tools defined contractually).

Follow-ups and coordination
-
Regularly follow up with contributors to ensure adherence to documentary milestones.
-
Organize progress meetings in case of blockage in order to obtain delivery commitments.

Documentary reference management
-
Maintain and update the Documentation Material List (DML) or Document Production Plan (PPD).
-
Track the status of each document (transmitted, accepted, rejected, pending).
-
Integrate input data from different services, partners and suppliers.
-

Archiving and traceability
-
Systematically archive contractual shipments in the internal database.
-
Ensure the traceability of all documents and their revisions over time.
-

Customer feedback tracking
-
Integrate and disseminate customer feedback (acceptance, refusal, remarks).
-
Ensure the document reference is updated accordingly.
-

Reporting and indicators
-
Produce progress reports for document tracking.
-
Provide KPIs and reporting for steering committees (COPIL).

Search profile:
-
Education Bac+3 Bac+5 (Document Management, Quality, Project Management, or equivalent).
-
Experience in document management in an industrial or project environment (ideally railway or automotive).
-
Proficiency in office tools (advanced Excel) and document databases.
-
Knowledge of contractual processes and the management of client deliverables.
-
Rigour, organisation, communication skills and coordination ability.
