Job Description

Roles & Responsibilities

Main missions:  

  • Document management and distribution

    • Ensure the reference and monitoring of documents transmitted by the editors.

    • Check the formal conformity of the files (reference, revision, designation, date, signature, etc.).

    • Organize and carry out contractual shipments to the client (mail, FTP, other contractually defined tools).

  • Follow-ups and coordination

    • Regularly follow up with contributors to ensure compliance with documentary milestones.

    • Organize progress meetings in the event of a blockage in order to obtain delivery commitments.

  • Documentary income management

    • Maintain and update the Documentation Material List (DML) or Document Production Plan (PPD).

    • Track the status of each document (transmitted, accepted, refused, pending).

    • Integrate input data from different departments, partners and suppliers.

  • Archiving and traceability

    • Systematically archive contractual shipments in the internal database.

    • Guarantee the traceability of all documents and their revisions over time.

  • Customer feedback tracking

    • Integrate and distribute customer feedback (acceptance, refusal, comments).

    • Ensure that the documentary reference is updated accordingly.

  • Reporting and indicators

    • Produce progress reports on documentary monitoring.

    • Provide KPIs and reporting for steering committees (COPIL).

Search profile:

  • Bac+3 Bac+5 training (Document management, Quality, Project management, or equivalent).

  • Experience in document management in an industrial or project environment (ideally railway or automotive).

  • Proficiency in office tools (advanced Excel) and documentary databases.

  • Knowledge of contractual processes and management of customer deliverables.

  • Rigor, organization, communication skills and coordination skills.
