Roles & Responsibilities
Parsons is looking for an experienced Project Interface Coordinator to manage and facilitate communication and coordination between the project team and key stakeholders, including RAC, KSIA, and other relevant parties.
The ideal candidate will have experience in large-scale infrastructure projects, particularly in the aviation sector, and be skilled at managing stakeholder relationships to ensure project objectives are met in alignment with regulatory and operational requirements.
This role will ensure smooth interaction between all stakeholders, from design through to execution, and will be responsible for resolving any issues or conflicts that arise between project teams and stakeholders.
What You'll Be Doing;
- Act as the primary point of contact for all stakeholders, including RAC, KSIA, and other external parties, ensuring effective communication and alignment with project objectives.
- Develop and maintain strong working relationships with key stakeholders, including government agencies, contractors, regulatory bodies, and airport authorities.
- Proactively manage stakeholder expectations, ensuring their needs and concerns are understood and addressed promptly.
- Facilitate regular stakeholder meetings, keeping all parties informed about project progress, risks, and milestones.
- Serve as the interface between the project team and key stakeholders, ensuring that information flows smoothly and that each party is aligned with project goals.
- Coordinate with the RAC, KSIA, and other relevant stakeholders to ensure that their requirements and concerns are integrated into the project s planning and execution phases.
- Ensure that all external approvals, permits, and compliance requirements are obtained from stakeholders in a timely manner.
- Address stakeholder inquiries and concerns, resolving issues promptly to maintain positive relationships and project momentum.
- Develop and maintain detailed communication plans that ensure regular updates and feedback from all stakeholders throughout the project lifecycle.
- Prepare and distribute progress reports, stakeholder updates, and meeting minutes to ensure that stakeholders are kept informed of key developments and project status.
- Ensure that all project communications are clear, accurate, and aligned with the interests of both the project team and external stakeholders.
- Facilitate the resolution of disputes or issues between stakeholders and project teams, ensuring minimal disruption to the project timeline.
- Monitor and manage any risks or issues that may arise between the project team and stakeholders, ensuring that these are escalated and addressed in a timely manner.
- Identify potential roadblocks or delays caused by stakeholder requirements, regulatory compliance, or operational constraints, and work proactively to mitigate these challenges.
- Collaborate with project managers and executive leadership to ensure that critical issues are resolved and project timelines are met.
- Ensure that all project documentation, including plans, contracts, approvals, and correspondence, are shared with relevant stakeholders and filed appropriately.
- Ensure that contractual requirements and commitments made to stakeholders (e.g., RAC, KSIA) are adhered to throughout the project.
- Track and follow up on project deliverables to ensure that stakeholder expectations are met and that the project remains on track.
- Ensure the project complies with airport regulations, aviation standards, and any other local or national requirements set by stakeholders such as KSIA or RAC.
- Support the project team in preparing for any audits, inspections, or reviews by stakeholders, ensuring that all required documentation is in place.
- Maintain awareness of any regulatory changes or stakeholder requirements that could impact the project and communicate these to the team as needed.
What Required Skills You'll Bring;
- Bachelor s degree in Project Management, Civil Engineering, Construction Management, or a related field. A master s degree or relevant certifications (e.g., PMP, PRINCE2) is a plus.
- 5+ years of experience in project coordination or stakeholder management, preferably within the aviation or infrastructure sectors.
- Experience working with major stakeholders such as airport authorities, government agencies, and private sector organizations like RAC or KSIA.
- Proven track record of managing large-scale projects with multiple stakeholders and coordinating across teams to meet deadlines and project goals.
- Excellent communication and interpersonal skills, with the ability to engage stakeholders at all levels of an organization.
- Strong problem-solving and conflict resolution abilities, with a proactive and solution-oriented approach.
- Understanding of aviation and infrastructure regulations, particularly those related to airport projects, security, and operations.
- Familiarity with project management software (e.g., MS Project, Primavera P6) and collaboration tools (e.g., SharePoint, Teams).
- Ability to understand and communicate technical details and project risks in a clear and concise manner to both technical and non-technical stakeholders.
What Desired Skills You'll Bring;
- Professional certifications such as PMP, PRINCE2, or equivalent.
- Familiarity with airport operations, including safety, security, and airside operations.
- Multilingual skills are a plus, especially in regions with diverse linguistic needs.
