Job Description

Roles & Responsibilities

The Projects Control Executive will be responsible for monitoring, coordinating, and controlling healthcare facility projects, ensuring they are delivered on time, within budget, and in compliance with healthcare regulatory standards (CBAHI, FGI, MoH, infection control). The role involves supporting project managers in planning, tracking, and reporting project activities while coordinating with internal stakeholders, consultants, contractors, and vendors.

This position is critical to ensuring that hospital renovation, expansion, and compliance projects are executed smoothly with minimal disruption to clinical operations, while enhancing patient safety and experience.

Project Planning & Coordination

  • Assist in preparing detailed project execution plans, schedules, and Work Breakdown Structures (WBS) for healthcare facility projects (e.g., ED modernization, OPD conversions, MEP/ICT upgrades).
  • Coordinate with architects, engineers, medical planners, infection control, and operations teams to align on requirements and timelines.
  • Track milestones, dependencies, and ensure alignment with hospital operations to minimize service disruption.

Cost & Budget Control

  • Monitor project budgets and expenditures, ensuring financial efficiency.
  • Support procurement and project managers in obtaining competitive vendor quotations and negotiating contracts.
  • Track and report budget variances with justifications and recommend corrective measures.

Compliance & Quality Assurance

  • Ensure all project activities comply with healthcare regulatory standards (CBAHI, FGI, MoH, NFPA, infection control guidelines).
  • Support the integration of medical equipment planning, ICT systems, and MEP upgrades in line with healthcare requirements.
  • Maintain accurate documentation for approvals, inspections, and regulatory audits.

Project Monitoring & Reporting

  • Track project progress against approved schedules, budgets, and deliverables.
  • Develop and maintain project dashboards, trackers, and management reports.
  • Highlight risks, scope variations, or delays, and escalate for timely resolution.
  • Prepare presentations and project status updates for executive leadership and steering committees.

Risk & Issue Management

  • Identify risks related to patient safety, infection control, clinical workflows, and project delays.
  • Maintain a project risk register with mitigation strategies.
  • Support in resolving operational challenges during phased project execution.

Stakeholder & Vendor Coordination

  • Liaise with consultants, contractors, and vendors to ensure adherence to project specifications, timelines, and compliance requirements.
  • Coordinate closely with hospital operations, infection control, biomedical engineering, and IT departments.
  • Facilitate communication and approvals between management, regulatory bodies, and project teams.

Desired Candidate Profile

  • Bachelor’s degree in Engineering (Civil, Mechanical, Electrical), Architecture, Project Management, or Healthcare Administration.
  • 3–6 years of experience in project controls, preferably within hospitals, healthcare facilities, or large-scale healthcare projects.
  • Strong knowledge of healthcare facility standards (CBAHI, FGI, MoH, NFPA, and infection control guidelines).
  • Proficiency in project management tools (MS Project, Primavera P6, Excel, Power BI).
  • Excellent communication, documentation, and stakeholder coordination skills.
  • Ability to manage multiple projects simultaneously with high attention to detail.
