Job Description
Roles & Responsibilities
In this role, you will be part of the Bid Studio and work alongside a high performing and talented team to support the development, coordination, administration, and delivery of high quality winning proposals.
What You'll Be Doing:
- Support the team in the coordination and administration of proposals, prequalifications, expressions of interest, and other bid submissions.
- Maintain proposal entries in the Opportunity Register and ensures information is accurately captured and updated.
- Supports document administration activities, including folder setup, file organization, document tracking, version control, naming conventions, and maintaining clean proposal workspaces.
- Maintain Knowledge hub libraries and repositories, including CVs, project descriptions, past performance records, proposal templates, forms, standard responses, graphics, and other reusable content.
- Format documents, performs desktop publishing, and completes word processing activities.
- Retrieve resumes, project descriptions, credentials, and other content from Parsons qualifications repositories and internal systems.
- Support coordination with internal departments such as contracts, legal, commercial, finance, corporate, and operations for obtaining relevant information for submissions.
- Prepare compliance matrix and bid management plan to support proposal kick offs
- Prepare proposal templates, forms, cover letters and other document in accordance with the tender requirements.
- Assist with meeting coordination, including setting up proposal meetings, preparing agendas, recording key actions, and following up with contributors.
- Support document control activities, including file naming, folder management, version control, document logs, and maintaining proposal documentation in SharePoint.
- Support proposal submissions through email and client portal and manage print production including logistics to ensure proposals are submitted on time to clients.
- Assist with proposal closeout activities, including archiving final submissions, updating repositories, uploading final documents, and capturing lessons learned.
- Provide administrative support and perform other ad-hoc requirements associated with this position as may be appropriate.
Desired Candidate Profile
What Required Skills You'll Bring:
- Bachelor's Degree in Engineering or Business administration (or equivalent)
- Internship and trainee experience in any organization
- Effective organizational, planning, and time management
- Effective verbal and written communication skills
- Ability to multi-task, be detail-oriented, and work against strict deadlines
- Familiarity with Microsoft Office Suite and SharePoint
- Role is open for UAE National only
