Job Description
Roles & Responsibilities
The PRO /Administration Coordinator will play a key role in ensuring the smooth operation of office activities within our Oil & Gas operations. This position involves coordinating daily PRO & Administrative tasks, managing logistics and documentation, and supporting both management and staff to maintain efficient workflows.
Key Responsibilities
- Liaison with Government Authorities, ensuring smooth processing of permits, visa, and residency applications,
- Compliance & Record Keeping, maintaining accurate records of permits, visa and residency documents.
- Collaboration with HR & Legal Teams, to ensure employees have the necessary legal documents to work and reside in the country.
- Support social security related topics with Ministry of labor & social affairs.
- Ensure company registrations are updated within the relevent government entities.
- Oversee daily office Administration, including logistics support (PSD, VRF, PPE, OFP coordination, visa issuance, and timesheet corrections).
- Manage documentation and maintain accurate records.
- Facilitate internal and external communications in English and Arabic.
- Organize and coordinate meetings, including agenda preparation and minutes.
- Draft, review, and format reports, correspondence, and presentations.
- Monitor office supplies and manage related procurement and logistics.
- Provide administrative support across departments to maintain professional standards
Desired Candidate Profile
Expected:
- Bachelor s degree in business administration, Management, or a related field.
- 5-7 years of experience in PRO & Administration, office coordination, or related roles.
- Strong organizational and multitasking capabilities.
- Excellent communication skills in English (written and spoken).
- Proficiency in MS Office Suite, email, and scheduling tools.
- High attention to detail and effective problem-solving skills.
- Ability to work independently and within a team environment.
- Prior experience in the oil & gas or industrial sector is an advantage.
