Job Description

Roles & Responsibilities

1. Procurement Planning

Forecast purchasing needs based on:

  • Sales trends
  • Production plans (bakery)
  • Seasonality and promotions

Ensure continuous availability of:

  • Raw materials (flour, dairy, etc.)
  • Caf supplies (coffee, beverages
  • FMCG retail items
  • Tobacco products

2. Supplier Management

Source, evaluate, and negotiate with suppliers

Maintain strong relationships with key vendors

Compare pricing, quality, and delivery terms

Develop backup suppliers to avoid shortages

3. Cost Control & Negotiation

Negotiate best possible prices, discounts, and payment terms

Monitor market price fluctuations (especially commodities like flour, sugar, oil)

Work toward reducing overall purchasing costs without compromising quality

4. Inventory Coordination

Work closely with store and warehouse teams to:

  • Maintain optimal stock levels
  • Avoid overstocking and expiry (critical for bakery items)
  • Implement and monitor stock rotation (FIFO)
  • Track slow-moving and fast-moving items

5. Order Management

Prepare and issue purchase orders accurately and on time

Follow up on deliveries and ensure timely receipt

Verify quantities and quality upon delivery

6. Quality Assurance

Ensure all products meet company standards

Coordinate with bakery/caf teams for product testing when needed

Address quality issues with suppliers promptly

7. Compliance & Documentation

Ensure proper documentation for all purchases

Handle invoices, LPOs, and supplier contracts

Ensure compliance for regulated products (e.g., tobacco purchasing requirements)

8. Reporting & Analysis

Track and report:

  • Purchase costs
  • Supplier performance
  • Stock shortages or overstock issues

Provide regular reports to management with recommendations

Desired Candidate Profile

Experience in purchasing (preferably in food, FMCG, or retail)

-Strong negotiation and analytical skills

-Knowledge of inventory management

-Familiarity with perishable goods handling

-Attention to detail and organization

-Ability to work under pressure and meet deadlines
