Job Description

Roles & Responsibilities

Main Function:

Maximize sales potential through effective and proper procedures for receiving all products entering the store including verifying actual product against order form to spot quantity discrepancies , confirming product integrity, and checking product temperatures as needed

Duties and Responsibilities:

1. Ensure all incoming merchandise has been received in good condition and keyed accurately into the appropriate system as per the UNION COOP rules and standards.
2. Validate proof of delivery by signing and placing a company stamp on all invoices.
3. Ensure that suppliers deliver orders according to the given schedule as per the UNION COOP policy.
4. Ensure that physical item details reconcile with the details on the system and document.
5. Open and inspect contents of packages/ cartons randomly to verify the quantity and quality of the items.
6. Enter or update correct quantity, unit of measurement and conversion factor on the PDT and review before approving the receiving. Unit of measurement is properly selected as what is indicated on the actual package
7. Fruits, vegetables, Fish and any other weighable items are weighed accurately and all the items are weighed before recording the receiving.
8. Ensure that items/ item package is clean, free from leakage, rust, scratches, bulges, decay, dents and pest infestation and no sign of spoilage and deterioration.
9. Ensure all the chillers and Freezers are maintaining the correct temperature as per the Municipality norms and Condition.
10. Ensure that temperature sensitive items such as fresh (fruits and vegetables), chilled and frozen items are not exposed in the receiving area for long time.
11. Ensure that food items received does not contain anything which is considered as unlawful according to Islamic Law
12. Check and ensure that production and expiration date is clearly indicated on the product/ package and ensure that only items valid for UNION COOP shelf life rules are received.
13. Ensure the delivery vehicles comply with the UNION COOP and Concern Municipality policy and condition
14. Ensure all the goods are handled with care. Ensure the suppliers also followed the same.
15. Inform the suppliers to collect the return/ damage items before receiving their respective deliveries. .
16. Segregate the damage /return items and inform to the Suppliers for the proceeding of return process.
17. Prepare spoilage item disposal, purchase return, and coordinate with concern superiors for further approval.
18. Responsible for ensuring all Return to Wholesale & Logistics Department, transfers, and recalls, damaged returns and any other deliveries are handled to company standard.
19. Maintain goods in a suitable environment disseminate specific instructions for unloading and loading staff and ensure they handle the goods as per norms set in UNION COOP.
20. Segregate the items by barcode and arrange the items in the shelf.
21. Ensure minimum and maximum stock thresholds are maintained at all times and are displayed in all the aisles.
22. Assist suppliers and UNION COOP employees in locating the items.
23. Allocate goods in a way that preserves them and eases transportation and picking
24. Maintains file of returnable items received from or returned to vendors.
25. Maintains the log in the store for in and out.
26. Follow FIFO method while arranging the items.
27. Maintain regular coordination and good communication with UNION COOP personnel, superiors and suppliers.
28. Ensure that all documents are stamped and signed by the authorized signatories before releasing and archiving.
29. Handover documents to authorized person only
30. Report to immediate superior any discrepancies encountered during the receiving and transferring.
