Job Description

Roles & Responsibilities

Serve as the first point of contact for visitors, clients, and staff, ensuring a welcoming and professional reception area.

  • Manage incoming calls, emails, and correspondence, directing inquiries to the appropriate departments or personnel.
  • Coordinate and schedule appointments, meetings, and conference room bookings for staff and management.
  • Maintain and update office records, files, and databases with accuracy and confidentiality.
  • Assist in the preparation and distribution of internal communications, memos, and reports.
  • Support administrative functions such as document filing, photocopying, and data entry.
  • Monitor and order office supplies, ensuring inventory levels are maintained and replenished as needed.
  • Liaise with vendors, service providers, and maintenance staff to ensure smooth office operations.
  • Assist in organizing company events, training sessions, and staff onboarding processes.
  • Uphold company policies and procedures while maintaining a high standard of professionalism and customer service.
  • Excellent verbal and written communication skills in both Arabic and English.
  • Strong organizational and multitasking abilities with keen attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Ability to handle sensitive information with discretion and confidentiality.
  • Professional appearance and demeanor suitable for a front-facing role.
  • Demonstrated ability to work independently and as part of a team.
  • Strong problem-solving skills and adaptability in a fast-paced environment.
  • Customer service orientation with a positive and proactive attitude.
  • Flexibility to support various administrative tasks as needed.
