Job Description
Roles & Responsibilities
Serve as the first point of contact for visitors, clients, and staff, ensuring a welcoming and professional reception area.
- Manage incoming calls, emails, and correspondence, directing inquiries to the appropriate departments or personnel.
- Coordinate and schedule appointments, meetings, and conference room bookings for staff and management.
- Maintain and update office records, files, and databases with accuracy and confidentiality.
- Assist in the preparation and distribution of internal communications, memos, and reports.
- Support administrative functions such as document filing, photocopying, and data entry.
- Monitor and order office supplies, ensuring inventory levels are maintained and replenished as needed.
- Liaise with vendors, service providers, and maintenance staff to ensure smooth office operations.
- Assist in organizing company events, training sessions, and staff onboarding processes.
- Uphold company policies and procedures while maintaining a high standard of professionalism and customer service.
- Excellent verbal and written communication skills in both Arabic and English.
- Strong organizational and multitasking abilities with keen attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Ability to handle sensitive information with discretion and confidentiality.
- Professional appearance and demeanor suitable for a front-facing role.
- Demonstrated ability to work independently and as part of a team.
- Strong problem-solving skills and adaptability in a fast-paced environment.
- Customer service orientation with a positive and proactive attitude.
- Flexibility to support various administrative tasks as needed.
