Job Description

Roles & Responsibilities

  • Greet and welcome visitors with a warm and professional demeanor, ensuring a positive first impression of Hala Media.
  • Manage and direct incoming phone calls efficiently, transferring them to the appropriate departments or individuals while taking clear and concise messages.
  • Handle mail and package distribution, sorting and preparing outgoing mail, and coordinating courier services for timely deliveries.
  • Maintain the reception area, ensuring its cleanliness, organization, and a professional appearance at all times to reflect Hala Media's brand.
  • Manage meeting room bookings and schedules, coordinating with internal teams and external guests for seamless meetings and events.
  • Provide administrative support to various departments, including data entry, document preparation, and other tasks as needed to support smooth operations.
  • Act as a point of contact for external vendors and service providers, managing their access to the office and ensuring smooth interactions.

Desired Candidate Profile

  • Possesses a High School Diploma or equivalent; a Bachelor's degree is a plus.
  • Offers a minimum of 2 years of experience in a receptionist or administrative support role.
  • Is of any nationality, but must be legally eligible to work in Dubai.
  • Maintains a professional appearance, is punctual, and has the physical ability to sit and stand for extended periods.
  • Displays strong organizational skills, attention to detail, and the ability to multitask effectively.
  • Exhibits excellent communication, interpersonal, and customer service skills to interact professionally.
