Job Description
Roles & Responsibilities
Meet and greet clients and visitors then making their reservations. In addition, the receptionist is responsible for some other administrative tasks, such as responding to customer queries, whether usually while customers are present, by telephone or by e-mail.
- Role and Responsibilities:
- Provide a welcoming and hospitable environment for clients by ensuring the reception area is comfortable.
- Supporting the clients by helping them to feel ease during check-in
- Register new patients and update existing patient records accurately.
- Schedule, the next patient appointments using clinic software system.
- Ensure waiting area and front desk are clean, organized, and presentable.
- Process patient check-in and check-out, including handling payments and issuing receipts.
- Coordinate with nurses, doctors, and other departments to ensure timely patient care.
- Review the previous day s doctors shifts and compare them with the system records.
- Collect the doctors consumables used, and ensure all consumables sheets are collected and submitted by the nursing staff.
- Ensure and confirm from the Nurse the patient has signed the consent form and verify that the Doctor has also signed and collected the form before any procedure.
- Ask patients for feedback regarding the services provided and ensure their comments are documented and shared with the management.
- Encourage patients to record their feedback using the feedback link sent by the clinic via SMS. Reception staff must remind the patient before leaving to click the link and submit their feedback.
- Ensure that patients sign the package booking form and pay the deposit before leaving the clinic.
- Confirm that the patient understands all related policies regarding deposit and package terms.
- Maintain confidentiality of patient records and personal information
- Do all the data entry tasks (invoices and new customer data).
- Proactively promote and upsell clinic services, Nutrition programs, and packages to clients professional and friendly manner, based on their needs and interests, while maintaining a high level of customer care and ethical standards.
- Receiving and addressing complaints to the Clinic manager.
- Complete the payment processes, cash refund and verification of the validity and integrity of invoices after checking the customer file
- Review cash and visa to ensure that the actual matches the invoices.
- Report immediately to the Clinic Manager if any office supplies, tools, or materials used at the reception are missing or unavailable.
- Responsible for completing the shift closing according to the procedures defined in the approved SOPs, ensuring all required steps are followed before handing over the shift.
- 4- 5 years of experience in a receptionist or front desk role, preferably in a clinic or healthcare setting.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in using office and scheduling software.
- Professional appearance and a friendly, approachable attitude.
- Ability to handle sensitive information with confidentiality.
- Strong attention to detail and accuracy in all tasks.
- Ability to work effectively in a fast-paced, client-focused environment.
- Flexibility to work full-time, under a fixed or unlimited contract, and on-site as required.
- Commitment to delivering exceptional customer service.
- Excellent English level is a MUST
