Job Description
Roles & Responsibilities
As the first point of contact for clients, guests, and employees, the Receptionist is a crucial role in any organization. It is this person s responsibility to create an excellent first impression by offering a warm welcome and providing support to various departments. A Receptionist is not only responsible for greeting visitors but also handling calls, managing appointment schedules, and ensuring the smooth flow of communication within the office. This role requires a friendly demeanor, excellent communication skills, and the ability to multitask efficiently. In addition, a Receptionist must maintain a professional appearance and conduct, reflecting the company's values and standards.
Responsibilities
- Welcome visitors and direct them to the appropriate personnel or office.
- Answer, screen, and forward incoming phone calls in a timely manner.
- Provide basic and accurate information in-person and via phone/email.
- Maintain office security by following safety procedures and controlling access.
- Manage and update calendars for appointments, meetings, and conferences.
- Receive, sort, and distribute daily mail, deliveries, and couriers.
- Coordinate with facility management and vendors, including cleaning, catering, etc.
- Keep updated records of office expenses and costs for the management team.
- Perform other clerical receptionist duties such as filing, photocopying, and faxing.
- Oversee the reception area to ensure it is tidy, presentable, and welcoming.
- Assist in planning and organizing company events and functions.
- Support office staff with administrative tasks as needed to ensure efficiency.
Requirements
- Proven work experience as a Receptionist, Front Office Representative, or similar role.
- Proficiency in Microsoft Office Suite and office equipment, like printers and fax machines.
- Professional attitude, appearance, and complete reliability in job duties.
- Solid written and verbal communication skills essential for the role.
- Excellent organizational skills with the ability to prioritize tasks independently.
- Customer service attitude with strong problem-solving capabilities.
- High school degree; additional certification in Office Management is a plus.
