Job Description

Roles & Responsibilities

The Admin will play a dual role in supporting both the administrative and sales functions, specifically focused on the Russia sector. She will be responsible for managing documentation, coordinating between teams, maintaining records, handling client communication, and ensuring smooth day-to-day operations.

Key Responsibilities:

  • Prepare and manage job inquiries, company contracts, quotations, and job orders.
  • Maintain and update all master data related to clients, job orders, and job inquiries.
  • Handle all email communication related to the Russia sector.
  • Share Arrival Notifications of candidates to companies
  • Report Candidates grievance to sales & Operations and make sure to resolve it at the earliest
  • Monthly candidates deployment report
  • Maintain monthly visa Stock .
  • Handle travel arrangements, including flight bookings, hotel reservations, and related logistics for staff and candidates.

Sector Responsibilities: -

  • Manage petty cash, including record keeping and reconciliation.
  • Maintain attendance records for the sales team.
  • Submit and maintain records of office expenses.
  • Ensure timely payment for vendors for example mobile electricity etc , renewal and management of company agreements and MOUs.
  • Organize and maintain physical and digital documents systematically.
  • Inventory of stationery, repair & maintenance contract etc

Sales Coordination:

  • Coordinate closely with the sales and operations teams to ensure timely and accurate communication.
  • Assist in preparing and maintaining centralize sales reports, client data, and status updates for management review.
  • Submit weekly sales reports to management on behalf of the sales team.
  • share status reports (weekly/monthly) for ongoing projects to client and sales team.
  • Act as the point of contact between the client, sales, and operations teams.
  • Track job order progress and ensure timely submissions of required documents by operations.
  • Help schedule client meetings, thank you email to clients
  • Follow up on pending client documentation and coordinate resolution of queries.

Coordination & Communication:

  • Serve as the central point of contact for internal and external communication in the Russia sector.
  • Ensure smooth collaboration between departments by providing timely updates and reports.
  • Respond to client inquiries and coordinate follow-ups with the relevant departments.
  • Communicate job status, candidate updates, and onboarding details to clients.
  • Coordinate with international agency partners on documentation and candidate status.
  • Participate in team meetings and document minutes for follow-up.
  • Handle client calls and messages and route them appropriately.
  • Maintain confidentiality of sensitive client and candidate information.
  • Strong proficiency in Microsoft Excel and emails.
  • Excellent communication and coordination skills
  • Ability to follow up diligently and track progress.
