Job Description
Roles & Responsibilities
We are looking for a proactive and detail-oriented Sales Coordinator to support the Sales Team and the E commerce Team in managing customer orders, coordinating with logistics and ensuring smooth end to end execution of the sales process. The ideal candidate will be the central point of contact between internal teams, and customers: ensuring timely order processing, accurate documentation, and excellent service/delivery follow up. The goal is to enhance operational efficiency, customer satisfaction, and the overall performance of the Sales department.
Desired Candidate Profile
Key Responsibilities:
❖ Order Management and Customer Support
• Process and follow up on customer orders from receipt to delivery through the company ERP
system.
• Process and follow up on Back To Back order processed to B2B and B2C.
• Monitor order status, coordinate with the warehouse and logistics teams, and proactively
communicate any delays or stock issues to internal team and customers.
• Customize order forms based on customer requirements, price list and promotional periods.
• Inform clients on the status of an order or a delivery, ensuring timely and professional
communication.
• Manage order amendments, cancellations, or returns as required, and in coordination with logistic
team.
• Respond to complaints from customers or issues, in coordination with relevant teams.
❖ Stock & logistics Coordination
• Support outbound logistics activities: shipment preparation, delivery scheduling, and
documentation. Track stock allocation and product availability to fulfil the orders.
• Collaborate with warehouse and logistics partners to ensure timely dispatch and accurate delivery
documentation.
❖ Reporting & Administrative Support
• Prepare and update sales and order tracking reports in Excel (pivot tables, VLOOKUP, charts, etc.).
• Support the Sales team with data analysis (track fulfilment etc.).
• Support in the preparation of presentations (PowerPoint).
• Ensure that all sales documentation (POs, delivery notes, invoices) is filed accurately and
retrievable.
❖ Cross Department Coordination
• Attend internal meetings and trainings to stay informed about new products, pricing changes, and
policies (Brand Presentations, Sales Cycles etc, Exclusivity deals etc)
• Coordinate with Marketing to align product launches, promotions, and customer communication.
• Inform customers in case of new product/brand launch to meet the annual sales objective
• Coordinate with Finance on customer credit status and invoicing accuracy
Skills and requirements:
• Very good English (Arabic is an advantage)
• Proven work experience (2-4 years) in sales coordination, customer service or order
management/process.
• Good understanding of basic logistics operations (outbound and delivery process)
• Advanced Excel & reporting skills (VLOOKUP, pivot tables, data clearing, reporting). Good in
PowerPoint.
• Good in ERP systems (Dynamics is a plus, SAP or else)
• Efficient, organized, and communicative person
• Ability to multitask, prioritize, and manage time efficiently
• Well-organized, detail-oriented, and able to manage tight deadlines
• Excellent verbal and written communication skills
