Job Description
Roles & Responsibilities
Job Purpose
Responsible for ensuring smooth sales operations by processing orders, managing system data, coordinating with internal teams, handling invoicing, returns, and customer complaints, and supporting the sales team with day-to-day needs.
Perform duties in accordance with Malia Group Policies and Procedures.
Duties And Responsibilities
On Sales Operations & Support
Manage system entries by creating and updating price lists for new items, entering modifiers and promotions while ensuring the sales team is informed, and setting up visa clients with all required documentation for proper account creation Collect and process all incoming sales orders (including free goods) from various sources in a timely and accurate manner Coordinate with the Procurement Department to track sales orders and prevent pending or delayed backorders Perform accurate and on-time invoicing to support seamless order-to-cash cycles Support the sales team with Purchase Requisition requests and petty cash handling Maintain proper system entries and updates for return notes to support accurate stock management Oversee the daily call cycle using M-Suite tools, monitor for irregularities, and escalate any discrepancies as needed Ensure the sales team is fully equipped by monitoring and coordinating the availability of catalogs and brochures, following up with concerned departments on missing or defective items, and coordinating with the IT team to resolve any issues related to handheld (HHD) devices. Manage documentation and filing related to sales operations, client visits, and supplier reporting
On Returns, Complaints & Collections
Follow up on returned goods, investigate root causes, and coordinate resolutions with customers and sales representatives Handle customer complaints by identifying the issue and responding promptly with corrective action plans Follow up with the Credit Department on outstanding dues to help accelerate collections and maintain cash flow
On Reporting
Submit monthly reports to the Business Unit Manager and Principals covering sales evolution by product compared to targets and the previous year, along with distribution and coverage performance supported by clear insights and recommendations
Education And Experience
Education
BA in Marketing or Management.
Experience
Minimum of 2 years of experience in a marketing or sales
