Roles & Responsibilities
POSITION DESCRIPTION:
The Part-Time Program Assistant plays a crucial role in supporting scholarship and exchange programs within the department including U.S. State Department and other government-funded programs. Responsible for outreach, recruitment, and communication, the assistant promotes opportunities through various channels. They assist in the selection process, maintain accurate program data, and provide essential support to scholars, including travel coordination and alumni engagement. The role involves administrative tasks, event coverage, and ensuring a high level of professionalism and ethical standards. The Program Assistant reports to the Scholarships Officer and the Country Director, contributing significantly to the success of the department's initiatives.
RESPONSIBILITIES:
- Promotion and Outreach:
Assist in promoting scholarship opportunities through diverse channels, including social media, websites, radios, newspapers, and outreach to educational institutions. - Recruitment and Outreach Visits:
Organize and conduct outreach visits and recruitment activities for scholarship/exchange programs as required, under the guidance of the Scholarships Officer. - Support and Follow-Up:
Follow up with students and parents, addressing On-Program-Support issues and requests, seeking guidance from the Scholarships Officer when necessary. - Selection Process:
Assist in the screening, evaluation, and selection process for all scholarship and exchange programs, ensuring a fair and rigorous procedure. - Data Management:
Enter and maintain accurate data related to scholarship programs, applicants, and recipients, ensuring data integrity and confidentiality.
Maintain scholarship databases, alumni records, and project files, ensuring accuracy and accessibility. - Strategic Support:
Participate in strategy discussions, contribute to the design of promotion and outreach campaigns, and support various departmental activities. - Scholar Support:
Follow up with scholars on dossier completion, training, and visa applications. Coordinate orientation and travel arrangements, especially for minors, under the guidance of the Scholarships Officer. Escorts scholarship recipients to the U.S. and/or back when required. - Communication and Coordination:
Respond to inquiries from individuals and institutions regarding program information via email and phone. Assist with photography and event coverage. - Alumni Engagement:
Work with scholarship program alumni to develop and monitor alumni plans, fostering a strong network and community. - Administrative Support:
Compile meeting minutes, document program activities, assist with translation, and supervise part-time department interns when necessary. - Professionalism and Ethical Standards:
Project a professional appearance, maintain a cooperative attitude, and adhere to high ethical standards in all interactions and activities. - Ad Hoc Duties:
Perform other related duties as assigned by the Scholarships Officer and/or Country Director, contributing to the overall success of the department's initiatives.
Desired Candidate Profile
Required
- An undergraduate degree in education, business, or related field
- 1-5 years of relevant experience
- Exceptional written and spoken English and native fluency in Arabic
- Ability to deliver effective oral presentations in Arabic and English
- Organized and detail-oriented
- Excellent communication and organizational skills
- Ability to multi-task in a busy workplace environment
- Ability to work independently as well as part of a team and be self-directed and motivated
- Positive attitude, and ability to work well with others
- Proficiency in Microsoft Word, Excel, and Outlook required; familiarity with online and social media programs and tools
- Ability and willingness to travel to the West Bank, Jerusalem, and United States
- Professional proficiency in verbal and written English (minimum TOEIC score of 850 or equivalent)
