Job Description
Roles & Responsibilities
1. Financial Planning and Budgeting
- Prepare the school’s annual budget in collaboration with the school leadership.
- Monitor budget implementation and recommend adjustments as needed.
- Analyze financial trends and provide forecasts to support decision-making.
2. Accounting and Bookkeeping
- Maintain accurate and up-to-date financial records (income, expenditure, assets, liabilities).
- Supervise the entry of all financial transactions into the school’s accounting system.
- Ensure compliance with accounting principles and school policies.
3. Fee and Revenue Management
- Oversee the collection of tuition fees and other income (e.g., donations, grants).
- Monitor student accounts for unpaid fees and manage follow-ups or escalation.
- Coordinate with the cashier and admin staff to ensure accurate billing and receipts.
4. Payroll and Staff Payments
- Manage the payroll process, including salaries, benefits, deductions, and taxes.
- Ensure timely payment to teachers, administrative staff, and third-party service providers.
- Keep records of employment contracts and compensation adjustments.
5. Financial Reporting
- Prepare monthly, quarterly, and annual financial reports for school management or governing bodies.
- Present financial performance summaries, budget comparisons, and key issues.
- Assist with financial data required for board meetings or external audits.
6. Compliance and Auditing
- Ensure the school complies with all financial regulations and statutory requirements.
- Prepare financial documents for internal or external audits.
- Implement audit recommendations and strengthen internal controls.
7. Team Supervision and Coordination
- Supervise the accounts team (cashiers, clerks, assistants).
- Provide guidance, training, and performance evaluations.
- Coordinate with other departments on financial matters (e.g., procurement, HR, facilities).
8. Procurement and Expense Control
- Oversee purchasing processes to ensure value for money.
- Authorize and track school expenditures within approved budgets.
- Verify vendor invoices and ensure timely payments.
9. Asset Management
- Maintain records of school property and assets.
- Support inventory tracking and depreciation accounting.
